About the position

Waahe Capital is seeking a highly motivated Project Coordinator with a strong background in Inventory Management to join our Operations team. This position is perfect for a self-starter who is detail-oriented and exceptionally organized. The ideal candidate will possess the ability to manage complex systems, demonstrate excellent communication, math, and analytical skills, and have relevant computer software proficiency. Project Coordinators will be responsible for handling associated documentation, completing tasks both individually and collaboratively, and reporting key performance indicators (KPIs) to management. Successful candidates should have several years of experience in inventory control, outstanding time-management skills, and a solid understanding of organizational techniques. Additionally, candidates should be prepared to work extended hours as needed and have a proven track record of building strong working relationships. In this role, Project Coordinators will work with inventory software to maintain accurate inventory records, assist in the shipping, receiving, storing, and issuing of supplies and materials, and perform inventory investigations for damages and conformity to purchase order specifications. They will notify supervisors regarding shortages, damaged goods, or discrepancies, and assist the Project Manager in preparing reports and coordinating between maintenance and construction employees. Project Coordinators will also be responsible for internal reporting to track project time and hours spent, completing receiving and discrepancy reports on inventory, and maintaining a clean and safe warehouse environment. They will recommend and implement proper storage and inventory procedures to improve warehouse efficiency and maximize space utilization. Additionally, they will be responsible for Bill of Materials and Kitting materials per a Work Order System, cycle counts, and maintaining inventory accuracy in the Inventory Management System. This position may involve other related duties as assigned, and the specific requirements may vary depending on the business needs.

Responsibilities

  • Experience in working with inventory software and maintaining accurate inventory records in the system.
  • Assist in the shipping, receiving, storing, and issuing supplies, materials, products, and sales/purchasing order creation.
  • Perform inventory investigation for damages and conformity to purchase order specifications and packing slips; notify supervisors regarding shortages, damaged goods, or other discrepancies.
  • Assist Project Manager in preparing reports, collecting paperwork, and coordinating between maintenance and construction employees as needed.
  • Work on internal reporting to track project time and hours spent.
  • Complete receiving, discrepancy, and follow-up reports on inventory.
  • Maintain the warehouse in a clean, orderly, safe, and hazard-free manner along with techs.
  • Report any safety concerns or hazards to management in a timely manner.
  • Recommend and implement proper storage, inventory, and warehousing procedures and improvements in warehouse efficiency and maximum space utilization.
  • Responsible for Bill of Materials & Kitting materials per a Work Order System; training will be provided.
  • Responsible for cycle counts and maintaining inventory accuracy in the Inventory Management System.
  • Maintain accurate files, paperwork, data entry, and processing.
  • Perform other related duties as assigned.

Requirements

  • High School Diploma or equivalent certification.
  • One or more years of experience in the warehouse process.
  • Understanding of inventory management and warehouse functions.
  • WMS and Barcode Scanner experience preferred.
  • Ability to work under pressure and tight deadlines.
  • Adaptable and dependable with the ability to follow directions and work cooperatively with others.
  • Helpful and professional attitude and appearance.
  • Strong proficiency in Excel and computer skills.
  • Strong verbal and written communication skills.

Nice-to-haves

  • Bilingual in English and Spanish.
  • Experience in warehouse process and inventory management for 2 years.
