About the position

The Project Coordinator at Yale University's Institution for Social and Policy Studies (ISPS) plays a crucial role in supporting interdisciplinary research that influences public policy. This position involves providing high-level administrative and operational support, ensuring the smooth operation of ISPS programming, and collaborating with faculty, staff, and students. The role requires flexibility in scheduling, including occasional evenings and weekends, to accommodate various events and workshops.

Responsibilities

  • Perform administrative program and office activities including conference and workshop preparations.
  • Determine logistical/budget needs for lectures, seminars, conferences, and hosting visitors.
  • Work directly with researchers to establish their conference planning needs.
  • Manage IT needs for conferences, lectures, seminars, and other programming.
  • Establish, implement, and coordinate payments including service agreements and contracts for conferences and research project related needs.
  • Manage/review survey budgets, processing of expense reports, purchase orders, spend authorizations and other business-related transactions.
  • Facilitate flow of information, provide guidance on Yale University policies and procedures.
  • Maintain organizational processes to strengthen internal workflow and improve coordination among all special projects.
  • Maintain confidentiality while handling sensitive information.
  • Provide coverage for other administrative support staff, as necessary.
  • Schedule and coordinate meetings and appointments as needed.
  • Other duties as assigned.

Requirements

  • Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
  • Demonstrated high-level administrative support skills.
  • Exemplary organizational and time management skills.
  • Superior oral and written communication skills.
  • Proficiency in Microsoft Office Word, Excel, PowerPoint, Outlook, and other web-based calendaring.
