About the position

The Project Coordinator at Concraft is responsible for providing essential support to the project management team, ensuring high levels of customer satisfaction and efficient project execution. This role involves responding to customer inquiries, implementing office standards, maintaining accurate records, and scheduling appointments. The ideal candidate will possess strong communication skills and a customer service background, aligning with the company's core values of trustworthiness, empathy, and proactive problem-solving.

Responsibilities

  • Keep customer satisfaction levels high by providing accurate information, resolving issues, and mitigating complaints.
  • Utilize scripts to handle difficult customer situations and escalate them if necessary.
  • Identify common customer issues and bring them to the attention of the team.
  • Keep track of customer accounts and update them with new information as necessary.
  • Act as a point of contact for customers, responding in a timely manner.
  • Provide support to Project Managers to ensure jobs run on time and on budget.
  • Document all communication about the project and input it into the system daily.
  • Enter projects in multiple database programs to monitor workflow.
  • Coordinate appointments for estimates and client meetings.
  • Execute compliance tasks in project management systems.
  • Audit projects to ensure all required and accurate information is collected and uploaded.
  • Confirm that project photos are properly titled, described, and uploaded in real-time.
  • Prepare necessary project-related documents such as work authorizations, contracts, and change orders.
  • Provide support to team members as needed to meet client needs.
  • Maintain constant communication with clients to ensure their needs and satisfaction are met.

Requirements

  • Excellent active listening, interpersonal, and communication skills.
  • High school diploma or GED equivalent.
  • Strong knowledge of customer interface and interaction.
  • Experience with Xactimate, DASH, or Encircle is a plus.
  • Ability to maintain self-control and adapt to unanticipated circumstances or stressful situations.
  • Ability to define problems and exercise sound judgment in response to various situations.
  • Ability to maintain regular attendance and adhere to a standard work schedule.
  • Manage the calendars for multiple Project Managers and Estimators.

Nice-to-haves

  • Experience with Xactimate, DASH, or Encircle is a plus.
