About the position

The Project Coordinator at Rutgers University is responsible for planning and directing systems analysis, design, and implementation of project plans that support the integration of RWJMS and NJMS. This role involves coordinating the development of data processing methods and procedures, working closely with faculty, students, and staff to organize integration efforts across various topics, and ensuring compliance with project standards. The position requires extensive preparatory work for accreditation processes and collaboration on curriculum and strategic planning.

Responsibilities

  • Consult with leadership in the Office of the Dean and Senior Associate Deans to formulate project objectives and system development requirements.
  • Prepare project plans and schedules with specific timelines for all major/subordinate events, including requirements, tasks, work assignments, and resources.
  • Serve as a direct report to the Chief of Staff (COS) in the Office of the Dean, providing management on project progress and issues.
  • Responsible for contract reporting requirements and participation in administrative meetings and conference calls.
  • Meet with staff to define priorities and provide guidance on technical and business aspects of the program.
  • Ensure all work and documentation meet departmental and project standards.
  • Provide Project Coordinating support for multiple events, offering periodic updates to senior leadership.
  • Act as a role model for customer service and quality improvement.

Requirements

  • Bachelor's degree in Public Health, Business Management/Administration, or a related field.
  • Four (4) years of relevant experience in project management or a related field.
  • Demonstrated analytical and statistical skills along with report writing capabilities.
  • Excellent customer service skills and diplomacy.
  • Highly proficient with Microsoft Office programs, including Microsoft Project, Word, Excel, Access, and PowerPoint.
  • Strong writing, organization, and communication skills to interact with senior management.
  • Ability to work well with all levels within the organization, including faculty, staff, and community leaders.

  • Experience producing detailed timelines and Gantt charts.
  • Flexibility regarding work hours to accommodate the demands of the Dean's Office.
