About the position

The position involves providing project coordination and administrative assistance to the Utility System Planning & Services Studies Department at Power System Engineering (PSE). The role requires a dedicated professional who can work independently and support various project managers and executives in their tasks, ensuring efficient operations and effective communication within the team.

Responsibilities

  • Arrange appointments and prepare meeting minutes, memos, letters, reports, proposals, charts, and contracts.
  • Assist with the preparation and submission of technical proposals in response to RFPs.
  • Proofread, edit, format, print, assemble, and submit technical reports to clients.
  • Prepare construction bid packages and contracts.
  • Track project costs and progress to meet budgets and deadlines.
  • Prepare monthly invoicing in collaboration with the Operations Department and project managers.
  • Coordinate and prepare information for project or internal department meetings, and record meeting minutes.
  • Handle various internal administrative tasks, including approving expense reimbursements and assisting with travel arrangements.
  • Coordinate meetings with external venues and internal attendees.
  • Collaborate with team members to improve efficiencies and work products, and create tools for workload and resource planning.
  • Assist in marketing and business development efforts.
  • Help with planning study report preparation, including Word documents, spreadsheets, tables, and graphs.

Requirements

  • Bachelor's degree preferred; Associate's degree in technical writing, editing, administrative assistance, or a related field will be considered.
  • 2+ years of relevant experience, preferably with a professional services firm.
  • Highly organized and detail-oriented with the ability to work independently.
  • Advanced knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent communication skills and strong teamwork abilities.
  • Ability to multi-task, prioritize workload, problem-solve, and meet deadlines.
  • Entrepreneurial mindset with a willingness to dive into technical aspects of renewable energy projects.
  • Proficiency with Microsoft Project is a plus.
