About the position

The Project Coordinator at Catamount Constructors Inc. plays a crucial role in supporting Project Managers and Project Engineers throughout the lifecycle of construction projects. This position involves setting up, maintaining, and closing out projects within the accounting system, ensuring that all aspects of project administration are handled efficiently. The Project Coordinator will monitor subcontractor compliance, authorize payment releases, and manage various administrative duties as assigned. In this role, the Project Coordinator will provide daily administrative support to the Project Team, prioritizing workflow across multiple projects. Effective communication with the Project Teams is essential, particularly regarding project issues, payments, and other relevant matters. The coordinator will be responsible for building Work Authorizations, Professional Service Agreements, and Purchase Orders in Procore, as well as reviewing Master Subcontract Agreements for execution accuracy. This includes ensuring compliance with all contractual obligations and maintaining accurate documentation. The Project Coordinator will also handle subcontractor and supplier change orders, track their status, and ensure that all necessary approvals and lien releases are verified. Additionally, the role requires managing insurance requirements, assisting with pay applications, and attending project meetings to identify potential challenges. The coordinator will be involved in resolving billing discrepancies and managing waivers in Textura and Procore. This position does not have supervisory responsibilities but requires a proactive approach to communication and problem-solving within the project environment.

Responsibilities

  • Assist Project Managers and Project Engineers in setting up, maintaining, and closing out projects in the accounting system.
  • Monitor subcontractor compliance and authorize payment releases.
  • Provide daily administrative support for the Project Team, prioritizing workflow within multiple projects.
  • Maintain open communication with Project Teams regarding project issues, payments, etc.
  • Build Work Authorizations, Professional Service Agreements, and Purchase Orders in Procore.
  • Review Master Subcontract Agreements for execution accuracy and post compliance as received.
  • Create subcontractor/supplier change orders and track their status.
  • Perform due diligence including verification of approvals and required lien releases.
  • Ensure insurance requirements are met and confirm certificate accuracy.
  • Assist project management with pay applications and attend meetings to identify potential challenges.
  • Review and validate sub-contractor and sub-tier waivers.
  • Manage the maintenance of Waivers in Textura and Procore.
  • Facilitate resolution of Mechanic liens with the Legal Department as needed.
  • Manage internal communication via telephone and email inquiries.

Requirements

  • Minimum of three (3) years of administrative or accounting experience in a construction or related environment preferred.
  • High School Diploma or equivalent required.
  • Experience using Viewpoint, Textura, Procore, Docusign, BlueBeam or other similar construction software preferred.
  • Working knowledge of Microsoft Word, Excel, Outlook, and Internet.
  • Excellent customer service skills and administrative support experience.

Nice-to-haves

  • Experience with accounting systems in a construction environment.
  • Familiarity with project management software and tools.
