About the position

MakoRabco, a leader in the self-storage construction industry with over 50 years of combined experience, is seeking a Project Coordinator to join our dynamic team. The Project Coordinator will play a crucial role in providing detailed administrative support for both new and existing projects. This position serves as the primary point of contact for all departments during the Pre-Construction phase, ensuring that all project-related information is accurately documented and communicated. The ideal candidate will be responsible for maintaining organized job files, scheduling meetings, and facilitating communication between various stakeholders, including clients, design teams, and contractors. In this role, the Project Coordinator will record executed contracts in the job log, create and maintain job files, and schedule initial kickoff meetings. They will work closely with different departments to ensure that projects remain on schedule and that all necessary information is documented. The Project Coordinator will also handle urgent communications, interact with general contractors and subcontractors, and maintain strong customer relationships throughout the project lifecycle. This includes providing relevant information to accounting, drafting, and labor departments, as well as maintaining communication with customers to keep projects moving forward. The Project Coordinator will be responsible for coordinating plan check comments with the design team, managing timeline expectations, and providing all closeout information, including warranties and any outstanding accounting balances once a job is completed. This position requires a strong understanding of the construction process, proficiency in Microsoft Office products, and excellent data entry skills. The Project Coordinator will work closely with sales, detailing, design and engineering, client relations, supply, and project management teams to ensure the success of each project.

Responsibilities

  • Record executed contracts in the job log and maintain organized job files.
  • Schedule initial kickoff meetings and hand-off meetings with the assigned Project Manager.
  • Work with various departments to ensure projects are on schedule and all information is documented.
  • Act as the point of contact for urgent calls, emails, and messages, maintaining good customer relationships.
  • Provide accounting, drafting, and labor departments with necessary project information.
  • Maintain communication with customers throughout the job's lifecycle to keep the job moving forward.
  • Coordinate through any plan check comments with the design team and manage timeline expectations.
  • Provide all closeout information, including warranties and any open accounting balances paid.

Requirements

  • Proficiency in Microsoft Office Products
  • Strong data entry skills
  • Understanding of the construction process
  • Experience with construction management software
  • Mid-level project management experience
