About the position

GLE Associates, Inc. is seeking a Project Coordinator to join our dynamic team in Tampa, FL. This role is pivotal in ensuring that our clients receive exceptional service through a blend of creativity and technical expertise. As a Project Coordinator, you will be responsible for a variety of administrative tasks that support our operations and enhance our client interactions. You will work closely with various departments, acting as a liaison to facilitate communication and ensure that all administrative processes run smoothly. Your contributions will be essential in maintaining the organization and efficiency of our office environment, allowing our team to focus on delivering high-quality services to our clients. In this position, you will handle a range of responsibilities that include answering phones, managing calls and messages, and performing typing and formatting assignments that may be confidential. You will operate personal computers to draft, edit, and print various documents such as letters, proposals, and reports. Additionally, you will be responsible for greeting visitors, determining the nature of their visit, and directing them to the appropriate parties. Your role will also involve preparing shipping labels, maintaining office supplies, and coordinating the scheduling of conference rooms. You will document staff locations, manage incoming and outgoing faxes, and ensure the office remains organized and tidy. Travel arrangements for employees will also fall under your purview, along with coordinating employee physicals and processing paperwork for the Admin/HR department. Participation in special projects and miscellaneous job-related duties will be expected as well, making this a versatile and engaging role within our organization.

Responsibilities

  • Answers phones and disperses calls/messages to appropriate parties in a timely, professional manner.
  • Performs a wide variety of typing/formatting assignments which are sometimes confidential in nature.
  • Operates personal computer to enter data, draft, edit, revise, and print letters, proposals, tables, reports, and other materials.
  • Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.
  • Drafts or prepares responses to routine inquiries; prepares photocopies and facsimiles, and operates a variety of office equipment.
  • Greets visitors, determines nature of visit, and directs to appropriate parties.
  • Prepares USPS, UPS or FedEx packaging labels as needed and maintains adequate supplies for each.
  • Distributes incoming mail and coordinates scheduling of conference room.
  • Documents staff locations (i.e., time in/out, travel destination, etc.).
  • Sends outgoing and receives incoming faxes and distributes accordingly.
  • Maintains office neatness and order.
  • Makes all travel arrangements as requested.
  • Coordinates and schedules employee physicals as requested.
  • Coordinates communication with corporate Admin/HR and processes paperwork for Admin/HR as requested.
  • Sets up project and proposal file folders.
  • Participates in special projects as requested.
  • Performs miscellaneous job-related duties as assigned.

Requirements

  • 2-5 years' administrative experience required.
  • Proficient in Microsoft Office (Word, Excel, etc.) and Adobe Acrobat Pro required.
  • High school diploma or GED or technical school.
  • Ability to work independently under tight deadlines with meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Must possess excellent organizational and time management skills and have the ability to work on multiple projects simultaneously.
  • Ability to be a dynamic team player and to collaborate effectively with management.
  • Experience using Deltek Vision preferred.
