About the position

Ultimate Staffing is currently seeking an experienced Project Coordinator for one of our larger companies. This position is assigned to project sites in the San Diego County area. The Project Coordinator position will manage all of the job site administrative functions and work closely with the Project Managers and other field staff. The role is essential in ensuring that all administrative tasks are handled efficiently and effectively, contributing to the overall success of the projects. The Project Coordinator will be responsible for managing the flow of documents, records, files, reports, and other information to and from a particular project site as well as the other projects as required. This includes handling incoming mail distribution, package shipments, and phones. At times, the specific daily tasks may vary by project type, requiring adaptability and a proactive approach to problem-solving. The Project Coordinator will also be involved in various aspects of project management, including safety, purchasing, subcontracts, project start-up and close-outs, contracts, submittals, pre-planning, scheduling, project evaluation, project changes, and operating procedures. The ideal candidate will have a strong understanding of federal project labor compliance tracking systems, such as LCP Tracker, and will possess excellent written and verbal communication skills. Strong customer service skills are essential for interacting with clients and subcontractors, and the ability to multitask and prioritize work duties is crucial. The Project Coordinator must be able to work with minimal supervision and interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Organizational skills in handling and archiving technical data are also necessary, along with compliance with all operating policies, procedures, plans, and programs.

Responsibilities

  • Manage all job site administrative functions.
  • Handle incoming mail distribution and package shipments.
  • Manage the flow of documents, records, files, reports, and other information to and from project sites.
  • Assist Project Managers and field staff as needed.
  • Adapt daily tasks based on project type and requirements.
  • Ensure compliance with safety, purchasing, and subcontracting procedures.
  • Oversee project start-up and close-out processes.
  • Maintain federal project labor compliance tracking using LCP Tracker.
  • Provide excellent customer service to clients and subcontractors.
  • Multitask and prioritize work duties effectively.

Requirements

  • 2+ years of project coordinating/administrative experience in construction or HVAC.
  • Basic knowledge of safety, purchasing, and subcontracts.
  • Experience with project start-up and close-outs, contracts, submittals, pre-planning, scheduling, project evaluation, and project changes.
  • Familiarity with federal project labor compliance tracking systems (LCP Tracker).
  • Excellent written and verbal communication skills.
  • Strong customer service skills.
  • Ability to multitask and prioritize work duties.
  • Ability to work with minimal supervision.
  • Strong organizational skills for handling and archiving technical data.

Nice-to-haves

  • Proficient in MS Office 365, Internet, MS Teams, Blue Beam, Key Styles, Viewpoint/Vista preferred.
