The Project Coordinator in the Administration department plays a crucial role in managing resources and overseeing mid to large scale medical equipment and estate-related projects. This position is essential for ensuring that medical equipment projects are executed without constraints, adhering to planned timelines and meeting all objectives. The Project Coordinator leads activities related to product and equipment selection and standardization, aligning with clinical requirements and enhancing the quality of patient care. Additionally, this role provides direct and indirect support to the Director of Engineering, Biomedical, and Technology departments, as well as higher-level administration for capital planning and various clinical projects. A significant aspect of the Project Coordinator's responsibilities includes the preventive and corrective maintenance of equipment to comply with TJC, CMS, and CAP regulations. The individual must possess the technical knowledge necessary to utilize test equipment and perform required preventive maintenance in a timely manner, following manufacturer recommendations. Furthermore, the Project Coordinator acts as a service engineer, addressing service requests from both clinical and non-clinical staff within the hospital. This role encompasses a variety of tasks related to the relocation, installation, maintenance, calibration, and repair of complex biomedical equipment. The Project Coordinator is the frontline employee visible to clinicians utilizing patient care equipment included in the Equipment Maintenance Program. Therefore, it is imperative that they exhibit pride, professionalism, and technical expertise at all times to ensure the success of all stakeholders involved. The position requires a thorough understanding of clinical service needs, excellent communication skills, and the ability to manage time effectively to complete daily tasks. The Project Coordinator must also proactively identify opportunities for improving the work environment and maintain a clean and organized workspace, ensuring that all service documentation is accurately completed and communicated to relevant staff.

Responsibilities

  • Manage resources and oversee mid to large scale medical equipment and estate-related projects.
  • Ensure timely execution of medical equipment projects without constraints.
  • Lead activities related to product and equipment selection and standardization based on clinical requirements.
  • Provide support for capital planning and various clinical projects to the Director of Engineering and higher-level administration.
  • Perform preventive and corrective maintenance of medical equipment to meet TJC, CMS, and CAP regulations.
  • Utilize test equipment to conduct preventive maintenance as per manufacturer recommendations.
  • Address service requests from clinical and non-clinical staff regarding biomedical equipment.
  • Handle tasks associated with relocation, installation, maintenance, calibration, and repair of complex biomedical equipment.
  • Maintain a clean and organized work area and ensure professional appearance.
  • Communicate progress and completion of repairs to clinical staff and management.
  • Input Planned Maintenance and Service information into databases as needed.
  • Proactively review and follow all medical device management plan policies and procedures.
  • Identify and communicate opportunities for improving work performance and environment.

Requirements

  • Bachelor's degree in Engineering or 3-5 years of experience in a medical/hospital-based environment; a Master's in Engineering is preferred.
  • Technical knowledge to use and handle test equipment in the Environment of Care department.
  • Experience in performing preventive maintenance of medical devices as per manufacturer recommendations.
  • Proficiency in software for equipment management and Microsoft Office products.
  • Data analysis skills in Microsoft Excel are required.
  • Two years of experience in the field of Engineering and Maintenance.
  • Strong verbal and written communication skills.

Nice-to-haves

  • Experience with biomedical test equipment such as multimeters and electrical safety analyzers.
  • Knowledge of Joint Commission Standards and compliance regulations.
  • Familiarity with emergency codes and hospital safety programs.
