About the position

Bennett & Pless Inc. is seeking a full-time Project Coordinator to support our Tennessee offices, specifically located in Knoxville. This role is integral to our team, providing both administrative and project-based support. The Project Coordinator will manage and complete recurring tasks and updates for the Project Managers, ensuring that various project activities of differing sizes and complexities are organized and controlled under the direction of the Team Lead. The Project Coordinator will assist with Professional Engineer Licensure and Continuing Education Requirements, coordinate schedules and meetings with both staff and clients, and organize weekly meetings. Responsibilities also include CRM data entry for Department and Project Managers, drafting and editing documents, presentations, and proposals independently, as well as project set-up, data collection/review, and project closeout in ERP systems. The role requires supporting the Engineering Staff with ongoing projects, tracking incoming projects and deliverable dates, and communicating with internal stakeholders and clients to provide updates on deadlines, tasks, and action items. In addition, the Project Coordinator will log and track incoming project documents, ensuring they are completed in a timely manner, and will frequently collaborate with staff on project status using Excel trackers. The position also involves generating and collecting feedback to improve processes, making it a dynamic and engaging role within our firm.

Responsibilities

  • Assist with Professional Engineer Licensure and Continuing Education Requirements.
  • Coordinate schedules and meetings as required both with staff and clients.
  • Organize and facilitate weekly meetings.
  • Perform CRM data entry for Department and Project Managers.
  • Assist with drafting and editing documents, presentations, and proposals independently.
  • Manage project set-up, data collection/review, and project closeout in ERP systems.
  • Support Project Analyst on financial needs and reporting for projects including Accounts Receivable.
  • Assist the Engineering Staff with ongoing projects including tracking incoming projects and deliverable dates.
  • Support communication of staff to provide upcoming deadlines, tasks required, next steps, and action items.
  • Communicate with internal stakeholders and clients.
  • Assist Project Managers with project-related activities.
  • Log and track incoming project documents, ensuring they are tracked to completion.
  • Collaborate and coordinate with staff on project status using Excel trackers.
  • Generate and collect feedback to improve processes.

Requirements

  • Bachelor's degree or Associate's degree (with equivalent experience).
  • Minimum 5 years experience in an administrative role.
  • AEC experience highly desirable.
  • Experience working in ERP and CRM systems.
  • Proficient in Microsoft Office: Word, PowerPoint, and Adobe Acrobat.
  • Intermediate Excel skills including ability to edit functions, vlookups, and pivot tables.
  • Excellent written and verbal communication skills.
  • Independent judgment to plan, prioritize, and organize workload.
  • Excellent time management skills.
  • Demonstrated ability to follow processes to a high level of accuracy.
  • Strong attention to detail.
  • Bookkeeping skills are a plus, but not required.
