As a Project Coordinator, you will play a crucial role in our operations, ensuring that our customers receive world-class service. You will be responsible for managing customer interactions, updating them on installation processes, and coordinating with installation crews. Your day-to-day tasks will include strategic scheduling of installations, performing data entry, and overseeing customer projects from the point of sale through to post-installation service. You will also support our customer excellence initiatives by ensuring all funding is secured for projects and coordinating with various teams to ensure smooth operations. Responsibilities

  • Answer phones and engage with customers in a fast-paced environment.
  • Update customers on the installation process, timelines, and product arrival dates.
  • Communicate with installation crews and coordinate install packages.
  • Strategically schedule installations based on job specifications and crew capacity.
  • Perform data entry utilizing the company's project management programs.
  • Manage assigned customer projects from point of sale through post-installation and service.
  • Ensure all funding has been secured for projects to support customer excellence.
  • Schedule service and install appointments, including job check-in calls to lead installers and service technicians.
  • Coordinate with the Ordering Team to ensure parts arriving coincide with parts going out to scheduling.
  • Post NPS survey results on appropriate company communication software.
  • Collect and process progress and final payments from customers.
  • Upload various documents to customer-specific folders.
  • Prepare various reports for management and engage in company meetings to collaborate on growth and process mapping.
  • Support the ordering team in tracking product arrivals and updating applicable CRM systems.
  • Review installation packages with operations to ensure preparedness for upcoming installations.
  • Perform assigned collections work for customer account receivables and delinquent accounts.

Requirements

  • 2 years of customer service experience (preferred).
  • Strong communication skills and the ability to articulate thoughts clearly.
  • Technical proficiency in project management and customer service best practices.
  • Ability to set and hit daily goals with a focus on accuracy and customer experience.

Nice-to-haves

  • Experience in a fast-paced customer service environment.
  • Familiarity with project management software and CRM systems.
