About the position

Milton Hershey School (MHS) is one of the world's best pre-K through 12th grade private schools, dedicated to providing students from disadvantaged backgrounds with a cost-free home and a top-notch education. Established in 1909 by Milton and Catherine Hershey, the school is fully endowed and has successfully prepared nearly 12,000 graduates to lead fulfilling lives. As MHS continues to expand its services to more students, it is seeking a Project Coordinator to join its Capital Projects Department. The Project Coordinator will perform a variety of complex administrative duties to support the Director of Planning & Design and Project Managers throughout the pre-construction, construction, and close-out phases of various projects. This role is crucial in ensuring that all project documentation is accurately maintained and that the flow of work is uninterrupted. The Capital Projects Department utilizes Procore project management software, PeopleSoft financial software, and AIA contract software to manage project records and documentation effectively. Key responsibilities include administering multiple projects simultaneously, scheduling meetings, generating minutes, composing letters, reports, contracts, spreadsheets, and graphic presentations. The Project Coordinator will also be responsible for electronic filing, data entry for contracts and purchase orders, and project financial reconciliation in preparation for project close-out. Additionally, the role involves identifying and resolving issues that may disrupt workflow and handling special projects as needed.

Responsibilities

  • Administer multiple projects at one time.
  • Schedule meetings and generate minutes.
  • Initiate and compose letters, reports, contracts, spreadsheets, and graphic presentations.
  • Responsible for electronic filing, contract & purchase order data entry, and project financial reconciliation in preparation for close-out using a variety of office equipment and software applications.
  • Identify and resolve problems that affect the orderly flow of work.
  • Handle special projects and other duties as needed.

Requirements

  • High School Diploma or equivalent required.
  • A minimum of 3 years of experience in an administrative support position with a heavy emphasis on data & project management.
  • Experience working with pre-construction and construction projects is a plus.
  • Certification as a Certified Professional Secretary (CPS) is desirable.
  • Skilled in utilization of Microsoft Suite, particularly advanced utilization of creating and managing Excel reports and PowerPoint presentations (MOS Certification a plus).
  • Proficient in troubleshooting computer systems.
  • Exceptional interpersonal skills including verbal and written capabilities.
  • Attentive to details and accurate documentation.
  • Skilled in providing high quality customer service and in collaborating with others.
  • Proficient in time management and self-managing one's responsibilities and multiple competing projects.

Nice-to-haves

  • Experience working with pre-construction and construction projects is a plus.
  • Certification as a Certified Professional Secretary (CPS) is desirable.
