About the position

The Project Coordinator will provide comprehensive support and carry out the plans and directions of the Project Managers, ensuring effective communication with project teams. This role is crucial for facilitating the flow of information and materials necessary for the successful completion of projects. The Project Coordinator will work closely with the Project Manager to assure successful project completion, foster strong working relationships with customers, support employees, and contribute to the overall success of the company. This position also emphasizes leading and promoting continuous improvement initiatives and process improvement techniques. In this role, the Project Coordinator will be responsible for planning, organizing, and establishing objectives and goals for assigned projects. They will coordinate daily communications to facilitate the organized flow of project documents and materials, ensuring profitability and efficiency. The Project Coordinator will participate in project reviews with various departments to ensure all required documentation is complete and will manage the Job File contents, including contracts, project checklists, and inspection reports. Additionally, the Project Coordinator will prepare submittal packages, apply for necessary permits, order job-specific materials, and assist with project mobilization. They will also prepare change orders, coordinate RFIs/RFPs, and manage the flow of paperwork associated with projects. The role includes preparing pay requisitions and working with the Project Manager to complete close-out packages efficiently. The Project Coordinator is expected to maintain a professional appearance and provide effective leadership within the production department, fostering teamwork and positive employee relations.

Responsibilities

  • Plan, organize, and establish objectives and goals for projects assigned.
  • Provide daily coordination and communications to facilitate the flow and control of all project documents, information, and materials.
  • Participate in project reviews with the production department to ensure all required documentation is complete.
  • Create and control the contents of the Job File, including contracts and project checklists.
  • Ensure the CERTA program pre and post job inspection reports are part of the permanent project file.
  • Prepare submittal packages for Project Manager's review and verify receipt by the GC or customer.
  • Apply for required permits and ensure they are received before job start.
  • Order job-specific materials using the approved PO procedure and cost codes.
  • Assist the Superintendent with project mobilization, ensuring required materials and equipment are available.
  • Prepare Direct Purchase by Owner, OCIPs, and MCIPs.
  • Prepare change orders as required at the direction of the Project Manager.
  • Coordinate with the Project Manager on RFIs/RFPs/meeting minutes/punch lists.
  • Prepare pay requisitions and ensure they are consistent with the schedule of values and approved by the Project Manager.
  • Work with the Project Manager to complete the close-out package within 2 weeks of final billing.
  • Coordinate with Accounts Receivable for lien release.
  • Maintain a professional appearance appropriate for the position.
  • Provide effective leadership for the production department.

Requirements

  • High School Diploma or equivalent; college preferred.
  • Minimum three (3) years of construction industry experience with emphasis on customer relations and project administration.
  • Strong planning and organizing skills, problem identification/resolution, and multi-tasking abilities.
  • Attention to detail and strong follow-through skills.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Valid driver's license and comfort visiting job sites periodically.
  • Ability to communicate effectively with co-workers.

Nice-to-haves

  • Bachelor's Degree in Engineering, Construction Management, or related field.
  • Knowledge of business and management principles.
  • Familiarity with project management software and CRM systems.
  • Extensive knowledge of roofing materials, techniques, and requirements.
