About the position

The Project Coordinator position at Perfection Group is designed for individuals who are highly detailed, results-oriented, and possess excellent organizational and time management skills. This role is pivotal in ensuring that projects are executed smoothly and efficiently, requiring a proactive approach to problem-solving and decision-making. The Project Coordinator will be responsible for coordinating site visits, scheduling deliveries, and managing installations for the operations team, while also liaising with subcontractors as necessary. In this role, you will evaluate project requirements and provide recommended action plans and solutions. You will assemble all pertinent information for each project, including drawings, site details, and customer contacts, ensuring that the field team has everything needed for successful project execution. Communication is key; you will be responsible for updating customers on order statuses and installation schedules, as well as maintaining internal job reports in real time. Following project completion, you will follow up with customers, salespersons, and subcontractors to ensure all aspects of the job are completed satisfactorily, including warranty and repair needs. Additionally, you will assist in verifying voltage, phase, and equipment size before orders are placed, manage the receipt and labeling of equipment and materials, and track warranty startup dates and paperwork. Keeping customers updated on project progress and obtaining daily updates from project technicians will also be part of your responsibilities. You will participate in project turnover meetings, assist in acquiring necessary permits, and work closely with the Regional Project Manager. Some travel may be required for this position, making flexibility and adaptability essential traits for success.

Responsibilities

  • Coordinate site visits and schedule deliveries, storage, and installation for the operations team.
  • Evaluate and provide recommended action plans and solutions for projects.
  • Assemble information pertinent for each project, including drawings, site details, and customer contacts.
  • Communicate all order status and installation schedules to customers and update internal job reports in real time.
  • Ensure the field team has all necessary information for successful project execution.
  • Follow up with customers, salespersons, and subcontractors after job completion to ensure satisfaction and address warranty or repair needs.
  • Assist in verifying voltage, phase, and equipment size before equipment is ordered and received.
  • Pickup, receive equipment and materials, and label them with associated project information.
  • Cut purchase orders for equipment and create calls as needed.
  • Assist in tracking warranty startup dates and paperwork.
  • Verify that all project startup paperwork is complete.
  • Keep customers updated on the progress of projects.
  • Obtain daily updates from project technicians.
  • Participate in project turnover meetings.
  • Assist in acquiring permits and coordinating city, county, and state inspections.
  • Communicate and work closely with the Regional Project Manager.

Requirements

  • High School Diploma or equivalent required.
  • Bachelor's degree in a related field or relevant experience preferred.
  • Minimum 3 years' experience in project coordination or an administrative role.
  • Ability to enter, access, and retrieve data from company databases.
  • Strong interpersonal skills to interact well with site and home office personnel at multiple levels.
  • Attention to detail and ability to follow through with duties and assignments.
  • Good organizational, time management, and communication skills (both written and verbal).
  • Ability to perform job requirements with limited day-to-day management support.
  • Advanced skills in Microsoft Office.
