About the position

The Project Coordinator at The Bayou Companies is responsible for supporting project management activities within the construction industry. This role requires a detail-oriented individual who can ensure projects are completed on time and within scope, while effectively communicating and collaborating with various stakeholders. The coordinator will manage documentation, assist in billing processes, and maintain project schedules, all while adhering to company policies and procedures.

Responsibilities

  • Work closely with Project Managers and various departments to coordinate project activities.
  • Communicate with field staff regarding pipe inventory and project updates.
  • Process RFQ/PO for subcontract work as needed.
  • Utilize INFOR to organize and track project documents and billing requirements.
  • Post completed reports in project folders and report daily production data.
  • Provide backup paperwork for invoicing to the Project Manager.
  • Participate in customer and pre-job meetings as required.
  • Implement project scope, schedules, and cost estimates.
  • Monitor inventory issues and delivery dates with Operations.
  • Produce monthly billing and monitor receivables for projects.
  • Communicate project updates to the Project Manager and stakeholders.
  • Attend weekly meetings and prepare special project reports.
  • Issue purchase orders and approve invoices for subcontractor work.
  • Create job cards and work orders for production.
  • Ensure all specifications and documents are completed before work begins.
  • Work closely with inspectors to ensure project tasks are completed.
  • Post daily production in required documentation and schedules.
  • Assist with acquiring necessary project permits.
  • Enforce company policies and procedures.

Requirements

  • Bachelor of Science degree or related field required.
  • 3 to 5 years of project coordination experience preferred.
  • Advanced skills in MS Excel, MS Word, Adobe, and Outlook.
  • Familiarity with project management software such as MS Project and ERP systems.
  • Strong management and problem-solving skills.
  • Ability to handle multiple tasks and maintain time management.
