About the position

The Construction Administrative Assistant at Black Lion Investment Group, Inc. plays a crucial role in supporting the Director of Development and various Project Managers in the successful administration of construction contracts. This position is essential for ensuring that all contractual obligations are met in a timely manner, which includes organizing and managing the monthly billing process. The role requires a proactive approach to coordinating with in-house legal counsel and the Director of Development to generate construction contracts for General Contractors and Vendors. In addition to contract administration, the Construction Administrative Assistant is responsible for maintaining comprehensive documentation for all vendors and contractors. This includes managing business licenses, certificates of insurance, and documentation related to invoices and payments. The position also involves assisting in the review of monthly AIA Applications for Payment, preparing change orders for Project Managers, and scheduling meetings to discuss monthly billings. Furthermore, the assistant will collaborate with the Accounting department to compile necessary documentation for monthly construction financing draws and assist in assembling bid documents, which include plans, specifications, and insurance requirements. This role is designed for individuals who thrive in a fast-paced environment and possess strong organizational skills. The Construction Administrative Assistant must be flexible and adaptable to changing work demands and schedules, ensuring that all performance standards are met while complying with company policies and procedures. This position is primarily on-site but allows for remote work three times a month after the onboarding process is completed.

Responsibilities

  • Coordinate with the Director of Development and in-house legal counsel to generate construction contracts for General Contractors and Vendors
  • Maintain documentation for all vendors and contractors performing services, including business licenses and certificates of insurance
  • Manage and organize the monthly billing process to ensure timely billing from contractors
  • Assist in the review of monthly AIA Applications for Payment
  • Prepare change orders for review by Project Managers
  • Schedule meetings and coordinate with Project Managers to review monthly billings
  • Assist Accounting in compiling documentation needed for monthly construction financing draws
  • Assist in assembling bid documents, including plans, specifications, and insurance requirements

Requirements

  • High school diploma or equivalent required; an Associate's degree or higher is preferred
  • Minimum of 2 years of experience in a receptionist or administrative assistant role, preferably in a real estate or luxury brand environment
  • 3+ years of experience in an administrative role, preferably in the real estate or construction industry
  • Proficiency in Microsoft Excel
  • Experience with AIA Applications for Payment (G702/703) is ideal
  • Experience with construction contracts is a plus
  • Experience with Yardi is a plus
  • Excellent organizational skills
  • Ability to multitask, exercise initiative and good judgment
  • Strong written and verbal interpersonal skills
  • Flexible and adaptable to changing work demands, volumes, and schedules
