About the position

Sodexo Energy and Resource is seeking a Construction Project Coordinator for one of our most prestigious accounts in Houston, TX. This role is integral to the project management team, providing both technical and administrative support throughout the lifecycle of construction projects. The Construction Project Coordinator will report directly to the Director of Construction Services and will be responsible for ensuring that all documentation is meticulously maintained, facilitating effective communication among stakeholders, and addressing any issues that may arise during the project. The successful candidate will play a key role in managing relationships with various teams and assisting the Project Manager with essential administrative functions and processes. In this position, the Construction Project Coordinator will manage day-to-day activities for the Project Management team, which includes preparing project-related correspondence such as letters, memos, and emails. The role requires consistent follow-up with vendors on all project-related action items and managing technical documentation control. The coordinator will also be responsible for the distribution and tracking of project-related technical and administrative documentation, as well as maintaining project logs using project management-specific software, Word documents, and Excel spreadsheets. This includes tracking requests for information and proposal requests, reviewing change orders, and coordinating project meetings. The Construction Project Coordinator will also assist in the preparation of monthly project progress reports, which include project cost reports, schedules, and status reports. Attendance at project meetings is essential, and the coordinator will be tasked with producing and distributing meeting minutes and action items. Additionally, the role involves developing and updating project schedules as required by the Project Manager and assembling project closeout documentation. The coordinator may also assist with the bid and proposal process when necessary, ensuring that all aspects of the project are managed efficiently and effectively.

Responsibilities

  • Ensuring documentation is maintained throughout the length of the project
  • Communicating plans, actions, risks, and issues with key stakeholders
  • Solving any issues that may arise during the project
  • Managing and building relationships with multiple teams
  • Assisting the Project Manager with administrative functions and processes

  • Coordinates, and in some cases moderates project meetings
  • Records and distributes project meeting minutes and action items
  • Assist in the coordination and preparation of monthly project progress reports, i.e., project cost reports, schedules, and status reports
  • Attendance at project meetings. Produce and distribute meeting minutes
  • Develop and update project schedules as required by the Project Manager
  • Assemble project closeout documentation
  • Assist with the bid and proposal process when necessary

Requirements

  • A Bachelor's Degree (project, construction, or business management preferred)
  • A minimum of 2 years of construction management, estimating, or construction administration experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Project)
  • Proficiency in Adobe Acrobat
  • Experience in computerized scheduling systems: Microsoft Project, etc.
  • Working knowledge of Construction Management Systems and Construction Document Management Systems
  • Extreme attention to detail
