About the position

The Project Coordinator at Pella Windows & Doors plays a crucial role in ensuring the smooth operation of installation projects. This position is responsible for scheduling installations, ordering products from local vendors, and coordinating Recovery & Service Appointments. The Project Coordinator acts as a vital link between customers, sales representatives, installers, and service technicians, ensuring that all parties are informed and that projects run efficiently. The ideal candidate will possess strong problem-solving skills, demonstrate initiative, and maintain a high level of accuracy and follow-through in their work. Organizational skills are paramount, as the role requires managing multiple tasks and prioritizing effectively in a fast-paced environment. In this role, the Project Coordinator will be expected to provide excellent customer service, including introducing customers for scheduling installations and managing vendor selection and scheduling. They will also be responsible for updating quotes in proprietary quoting software, generating job specifications and purchase orders, and handling permit requests and scheduling inspections. Order tracking and the creation of manual purchase orders are also key responsibilities. The Project Coordinator will liaise between Project Managers, Sales Representatives, and Customers, ensuring clear communication and timely scheduling of installations. Attention to detail is critical, as the Coordinator must ensure that all necessary documents are complete and accounted for, maintaining up-to-date notes in the project management system. The role requires a proactive approach to time management and the ability to prioritize tasks without guidance. The Project Coordinator must be capable of providing clear instructions to installers and comfortable escalating issues when necessary. This position may also involve other duties as assigned, contributing to the overall success of the team and the satisfaction of customers.

Responsibilities

  • Provide excellent customer service skills.
  • Schedule installations and manage customer introductions.
  • Select and schedule vendors for projects.
  • Update quotes in proprietary quoting software.
  • Generate job specifications (JSA) and purchase orders.
  • Request permits and schedule inspections.
  • Track orders using Order Management System (OMS).
  • Book purchase orders and create manual purchase orders.
  • Apply for factory credits as needed.
  • Act as a liaison between Project Managers, Sales Representatives, and Customers.
  • Communicate with Customers and Subcontractors to schedule installations.
  • Answer phone lines for the department.
  • Maintain high attention to detail, ensuring all documents are complete and accounted for.
  • Keep project management system notes up-to-date.
  • Manage time effectively and prioritize tasks without guidance.
  • Provide clear instructions to installers.
  • Escalate issues when necessary.
  • Perform other duties as assigned.

Requirements

  • High School Graduate or GED.
  • One year of related experience and/or training.
  • Previous experience in a sales support or project coordinator role is strongly preferred.
  • Experience in the construction industry is a plus.
  • Strong organizational skills and ability to multi-task in a fast-paced environment.
  • Excellent communication skills, both verbal and written.
  • Proficient in using computer systems and software.
