Continental Siding Supply is seeking a highly motivated Project Coordinator to join our team in Independence, MO. The Project Coordinator will play a crucial role in managing and coordinating various project schedules, ensuring that appointments are kept, and supporting the Project Manager in meeting project timelines and deadlines. This position requires a detail-oriented individual who can handle documentation, coordinate with multiple departments, and track project-related activities to ensure smooth operations. The Project Coordinator will be responsible for managing schedules for Project Manager pre-walk arounds, site visits, and punch list/final walk arounds. This includes verifying appointments, rescheduling as necessary, and coordinating site visits with the Service Manager. The role also involves thorough documentation of information in Lead Perfection, email, and spreadsheets, as well as updating the Master Spreadsheet for every job. The Project Coordinator will work closely with the warehouse to schedule material deliveries, track credit card receipts, coordinate hotel bookings for installers, create and track Purchase Orders, and obtain building permits and renew city licenses. The ideal candidate will possess strong organizational skills, the ability to communicate effectively, and a commitment to customer satisfaction. This position offers a full-time schedule from Monday to Friday, with work hours from 7:00 a.m. until 4:00 p.m. or until daily tasks are completed. The wage for this position ranges from $20.00 to $22.00 per hour, depending on the candidate's skills and experience. Responsibilities

  • Manage schedules for Project Manager pre-walk arounds, site visits, and punch list/final walk arounds.
  • Verify appointments are met and reschedule as needed.
  • Coordinate Project Manager site visits with the Service Manager and service calendar when jobs are in close proximity.
  • Confirm that timelines are accurate and deadlines are being met.
  • Thoroughly document information in Lead Perfection, email, and spreadsheets.
  • Update the Master Spreadsheet for every job; verify that other departments have also entered pertinent information.
  • Coordinate with the warehouse when scheduling material deliveries.
  • Collect and track credit card receipts to monitor spending.
  • Coordinate hotel bookings directly with installers; track hotel bookings and send folios to accounting.
  • Create and track Purchase Orders.
  • Obtain building permits and renew city licenses within the coordinating map region.
  • Make daily courtesy calls, document timelines, and specifics when noting in Lead Perfection, and research/confirm accurate time frames.
  • Track window/door timelines and deliveries.
  • Receive Material requests via phone from PMs and utilize company Warehouse emails to pull material and coordinate with Warehouse staff.
  • Other duties as assigned.

Requirements

  • Possess a high school diploma or equivalent.
  • Possess at least two (2) years of office administration experience.
  • Able to read and interpret documents.
  • Able to speak English clearly and with proper grammar and diction.
  • Able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Able to compute rate, ratio, and percentage and to draw and interpret bar graphs.
  • Able to apply common sense understanding in a variety of situations to assure customer satisfaction for both internal and external customers.
  • Typing and Excel proficiency required.
  • Knowledge of how to access and use the internet and have a good working knowledge of data entry software, spreadsheet software, and/or word processing software.
  • Phone system knowledge and experience are helpful.
