About the position

The Project Coordinator at ITR Concession Co LLC (ITRCC) plays a crucial role in the Project Management Office, working under the direction of the Director of Project Management. This position is dedicated to ensuring the smooth coordination of various project details, which can vary in size and complexity. The Coordinator is responsible for facilitating communication between multiple stakeholders, including departmental subject matter experts and project managers, to ensure that all project activities align with the company's strategic goals and performance indicators. The role emphasizes the importance of safety and adherence to ITRCC's core values: Customer Service, Respect, Excellence, Stewardship, and Teamwork (CREST). The Coordinator's responsibilities include performing tasks that support the Director's broader strategic focus, such as scheduling meetings, keeping minutes, and assisting with administrative duties related to project management. The Coordinator will also help break down projects into manageable tasks, estimate durations, and assist in planning from start to finish. This role may involve being the dedicated planner or scheduler for certain projects, ensuring optimal resource allocation, and maintaining the PMO Artifact Library. Additionally, the Coordinator will prepare and distribute project materials, implement policies and procedures, track expenses, and report on team and project performance, ensuring compliance with PMO guidelines. Collaboration is key in this role, as the Coordinator will work closely with external stakeholders to foster positive relationships and ensure project consistency. The position also involves maintaining the Project Risk Database and Lessons Learned Database, contributing to the overall success of project delivery. The Coordinator is expected to uphold ITRCC's safety culture by complying with all safety requirements and participating in necessary training.

Responsibilities

  • Perform all tasks safely and comply with all internal and external safety requirements.
  • Support ITRCC's safety culture and attend all safety trainings and compliance trainings as required.
  • Uphold ITRCC's core values: Customer Service, Respect, Excellence, Stewardship, and Teamwork (CREST).
  • Assist project managers with administrative duties and processes.
  • Schedule meetings and keep minutes.
  • Participate in coordinating multiple projects of varied sizes.
  • Break down projects into manageable tasks and estimate their duration.
  • Assist with planning from start to finish of projects.
  • Act as the dedicated planner/scheduler for some projects.
  • Assist with optimal allocation of resources among different projects.
  • Help the Director in creating, updating, and maintaining the PMO Artifact Library.
  • Prepare and distribute project materials.
  • Implement policies and procedures, track expenses, and work on budget forecasts.
  • Report on team and project performance.
  • Report on projects' compliance with PMO guidelines, templates, and procedures.
  • Collaborate on stakeholder presentations and foster positive relationships with all stakeholders.
  • Assist in maintaining the Project Risk Database and Lessons Learned Database.
  • Perform other duties as assigned.

Requirements

  • Associate or bachelor's degree required.
  • At least 3-5 years of relevant experience in project development and oversight.
  • Project management certifications are preferred.
  • Knowledge of project management methodologies, including flowcharts and technical documentation.
  • Familiarity with both waterfall and agile project delivery methods is preferred.
  • Proficiency in MS Project and MS Visio is preferred.
  • Technical proficiency with industry software and project management software is required.
  • Demonstrated interpersonal, management, and communication skills are essential.
  • Strong oral, written, and presentation skills are necessary.
  • Must possess and maintain a valid Driver's License.

  • Experience with risk assessment matrix and mitigation strategies.
