About the position

Kforce has a client that is seeking a Project Coordinator in Grand Rapids, MI. This position will be a critical member of the ITS Business office, with the primary responsibility of taking purchase requisitions and requirements from a Purchase Order Request (POR) form and entering these into Ariba for Purchase Order (PO) creation. The Project Coordinator will partner closely with the ITS Portfolio Analysts to help manage PO backlogs and assist on ad-hoc projects as needed. This role is essential in ensuring that the procurement process runs smoothly and efficiently, contributing to the overall success of the business operations. The Project Coordinator will be responsible for entering information from various source documents, including purchase order request forms, DocuSign, and emails, into Ariba for PO creation. Additionally, the role involves entering information from spreadsheets and emails into SAP for capital expense approval. The Project Coordinator will maintain spreadsheets of contract, sourcing, or funding data, ensuring that all information is accurate and up-to-date. Another key responsibility includes invoice reconciliation within Ariba, as well as vendor communication for issue resolution. This position requires a detail-oriented individual who can manage multiple tasks and work collaboratively with various stakeholders across the organization.

Responsibilities

  • Enter information from purchase order request forms into Ariba for PO creation.
  • Enter information from spreadsheets and emails into SAP for capital expense approval.
  • Maintain spreadsheets of contract, sourcing, or funding data.
  • Perform invoice reconciliation within Ariba.
  • Communicate with vendors for issue resolution.

Requirements

  • Bachelor's degree or equivalent experience.
  • Experience in Accounts Payable, IT Financial, and Procurement areas.
  • Experience managing cross-functional projects or programs.
  • Knowledge of ITS and Corporate financial and fiscal year budgeting processes.
  • Ability to work cross-functionally across ITS and business areas, and with all levels of team members, project leads, management, and vendor partners.
  • Adaptive, flexible, and responsive to challenges, change, and customer business cultures.
  • Experience with SAP and Ariba preferred.
  • Purchase order creation experience strongly recommended, with specific Ariba experience preferred but not required.
