About the position

HealthEdge Software Inc is seeking a Project Coordinator to assist Project Managers in organizing ongoing projects. This role is crucial in ensuring that project plans, schedules, work hours, budgets, and expenditures are monitored effectively. The Project Coordinator will be responsible for organizing and participating in stakeholder meetings, documenting important actions and decisions, and preparing necessary presentation materials. The position requires a proactive approach to ensure that project deadlines are met and that any changes to the project are determined and communicated effectively. The Project Coordinator will also provide administrative support as needed, undertake various project tasks, and develop project strategies. It is essential for the projects to adhere to established frameworks, and all documentation must be maintained appropriately. The role involves assessing project risks and issues, providing solutions where applicable, and managing stakeholder views to achieve the best outcomes. Additionally, the Project Coordinator will chair and facilitate meetings when appropriate and distribute minutes to all project team members, ensuring clear communication and accountability throughout the project lifecycle. This position is part of the Global Professional Services team, which supports customer-funded service delivery initiatives separate from standard SaaS license support activities. The team is involved in customer implementations, business expansion, and optimization initiatives, making the role integral to the success of these projects.

Responsibilities

  • Maintain and monitor project plans, project schedules, work hours, budgets, and expenditures.
  • Organize, attend, and participate in stakeholder meetings.
  • Document and follow up on important actions and decisions from meetings.
  • Prepare necessary presentation materials for meetings.
  • Ensure project deadlines are met.
  • Determine project changes.
  • Provide administrative support as needed.
  • Undertake project tasks as required.
  • Develop project strategies.
  • Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Assess project risks and issues and provide solutions where applicable.

Requirements

  • Bachelor's degree preferred.
  • 3 years' experience in project management coordination preferred.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • MS Project experience preferred.
  • OpenAir experience preferred.
  • Smartsheet experience preferred.
  • Exceptional verbal, written, and presentation skills.
  • Ability to work effectively both independently and as part of a team.
  • Knowledge of file management, transcription, and other administrative procedures.
  • Ability to work on tight deadlines.
