The Project Coordinator is an integral part of the Finance team reporting to the CFO. This position is responsible for supporting the Project Manager(s) in job financial reporting and analysis and ensuring that project documentation, including all required correspondence, is properly completed and filed for ease of reference. This role involves entering all subcontracts, purchase orders, and change orders into the ERP and Project Management systems, sending them to the subcontractors and vendors, and ensuring these documents are signed and returned. Additionally, the Project Coordinator is responsible for ensuring that the appropriate documentation is in place and submitted to the client for accurate and timely payment. The Project Coordinator will assist the Project Manager in the review of costs and the timely and accurate completion of month-end financial reporting packages and forecasts. They will also assist the Project Management team in processing and tracking paperwork, including submittals, RFIs, invoices, applications for payment, subcontract agreements, purchase orders, and labor cost reports. The role requires ensuring that the team accurately documents and submits all receivables, quantities, extras, change orders, and claims for timely invoicing to maximize cash flow. The Project Coordinator will finalize monthly invoices with the Project Manager and assist in the timely preparation of submissions for as-builts, vouchers, extras, and claims. Maintaining a comprehensive and orderly project file system is crucial, as is ensuring that all documentation is clear, concise, and accurate for reliable use by all departments and employees. The Project Coordinator will also maintain meeting minutes and follow up with the team regarding the status of action items, ensuring that all Owner-required information is submitted timely and accurately to avoid project delays. Furthermore, they will identify and contribute to the implementation of process and control enhancements, including documentation of work instructions with a focus on continuous improvement. Finally, the Project Coordinator will assist and ensure that the Project Manager has all information needed to submit a Client Modification, ensuring that all documentation is fully executed and includes the CFS internal document.
