About the position

Seneca Strategic Partners, part of the Seneca Nation Group (SNG) portfolio, is seeking a Project Coordinator for Special Programs. This role is crucial to the execution team, reporting directly to the Project Manager of Special Programs. The Project Coordinator will be responsible for managing the execution of both existing and future projects, ensuring that commitments to customers are met effectively. The position requires a proactive approach to support the Project Manager by executing necessary actions related to project management and coordination. The Project Coordinator will engage in various activities, including sourcing and procurement of materials and supplies to meet fluctuating product demand. This involves identifying providers who can support current customer requirements and address potential mission gaps. The role necessitates collaboration with key back-office functions such as accounting, finance, and contracts to ensure project support while keeping the Project Manager informed of progress and challenges. In addition, the Project Coordinator will ensure that supplier purchase orders are accurate, issued in a timely manner, and properly closed out. They will work closely with suppliers to ensure timely delivery of products, addressing any issues related to late, missing, or defective items. The Coordinator will also assist the Special Programs team in determining resource requirements and presenting business plans as needed. Monitoring and reporting on project activities, including real-time updates, will be a key responsibility, as will anticipating and notifying the team of any potential export concerns. The role also includes managing the SSP vendor list, which encompasses points of contact, product segments, payment terms, pricing lists, and any special provisions by suppliers. Regular communication with management, customers, project team members, and stakeholders is essential to solicit and address feedback effectively.

Responsibilities

  • Execute necessary activities related to the sourcing and procurement of materials and supplies needed to meet changing levels of product demand.
  • Identify providers who can support existing customer requirements and provide solutions for potential mission gaps.
  • Work across key back-office functions (accounting, finance, contracts) to ensure necessary project support while keeping the Project Manager informed.
  • Ensure supplier purchase orders are accurate, issued timely, and properly closed out.
  • Coordinate with suppliers to ensure timely delivery of products and address issues with late, missing, or defective items.
  • Assist the Special Programs team in determining resource requirements and presenting business plans as necessary.
  • Plan, schedule, monitor, and report on project activities, updating project templates with real-time updates.
  • Anticipate and notify the Special Programs team of possible export concerns with products or information.
  • Manage the SSP vendor list, including points of contact, product segments, payment terms, pricing lists, and special provisions by suppliers.
  • Communicate routinely with management, customers, project team members, and stakeholders, actively soliciting and addressing feedback.

Requirements

  • Bachelor's degree highly preferred, but equivalent prior sales and military experience may be substituted.
  • Procurement and/or sourcing background is preferred.
  • Possess a technology background or familiarity with unique products (tactical, medical, vehicles, surveillance, expeditionary, communications, etc.).
  • Ability to solve issues on projects in cooperation and collaboration with teammates and divisions.
  • Experience in companies with multiple product offerings.
  • Experience working with manufacturers, dealers, distributors, and wholesale organizations.
  • Excellent communication skills, both written and oral.
  • Ability to cultivate effective business relationships with management, partners, customers, and peers.
  • Knowledge, experience, and skills in sales, procurement, and government contracting.
