About the position

The Project Coordinator will provide essential administrative and project support to the Facilities and Planning department at Massachusetts Eye and Ear. This role involves coordinating various project activities, managing schedules, and ensuring that project deadlines are met while maintaining high standards of confidentiality and communication.

Responsibilities

  • Handles general administrative responsibilities including responding to inquiries and managing calendars.
  • Schedules meetings, interviews, and conferences for Operational leaders and facilitates meetings as needed.
  • Maintains administrative calendars for appropriate Operational leaders.
  • Documents project phases and creates project summary reports.
  • Compiles and distributes reports and documents requiring an understanding of departmental processes.
  • Monitors project plans, schedules, work hours, budgets, and expenditures, ensuring timely completion of project deadlines.
  • Coordinates follow-up activities and works with field personnel to address project issues.
  • Provides monthly and weekly audits and assists in project reports using Microsoft Project, Excel, and PowerPoint.
  • Coordinates project operations with Consultants and Contractors.
  • Implements processes and procedures to enhance operational efficiency.
  • Orders furnishings and signage throughout the organization.
  • Provides leadership and ownership to the projects.
  • Covers various roles within the department on a short-term basis as needed.

Requirements

  • Associates or Bachelor's degree or equivalent combination of education and experience.
  • Minimum 2 to 3 years of experience in an administrative capacity or project coordination.
  • Strong organizational skills are essential.
  • Proficient in Microsoft Office applications, particularly Word and Excel.
  • Excellent verbal and written communication skills.
  • Ability to work both independently and as part of a team.
  • Healthcare background preferred.
