About the position

The Project Coordinator at Vanderlande Industries plays a crucial role in supporting project management operations by processing, tracking, and distributing project deliverables. This position ensures effective communication among internal departments and with customers, while also maintaining project documentation and compliance with contractual obligations. The coordinator assists the Project Manager and the entire project team to facilitate successful project execution across various markets, including airport baggage handling and distribution centers.

Responsibilities

  • Document Control - Work with the Project Team to produce project-specific technical and commercial documentation and templates as outlined in project plans.
  • Maintain project action item and open item lists, tracking open items for completion.
  • Coordinate weekly project team meetings, keeping and distributing minutes.
  • Maintain all project log files to ensure accuracy of document status, including Submittals, RFIs, Change Orders, and Risk and Opportunity registers.
  • Assist the Project Manager with project execution by coordinating with all departments.
  • Ensure that the contents of submittals meet contractual requirements by coordinating with project team members.
  • Produce and update weekly and monthly project reports, both internal and external.
  • Act as a secondary point of contact for all departments in the absence of the Project Manager.
  • Serve as a direct line of communication between all departments supporting project execution.
  • Work with the Project Scheduler to gather schedule updates from the project team on a weekly basis and verify compliance with schedule milestones and due dates.
  • Provide other support as required, including Site Badging Administration, Continuous Improvement project support, and Supply Chain expediting support.

Requirements

  • Bachelor's Degree from an accredited university or institution.
  • 3+ years of related project coordination or construction experience.
  • Basic understanding of project procurement, scheduling, and documentation requirements.
  • Proficient in MS Office.
  • Outstanding attention to detail.
  • Ability to work well with a diverse team of internal disciplines.
