About the position

The Project Coordinator position at Irby Utilities is a vital role within the Project Services Group (PSG), responsible for providing comprehensive administrative support to project managers during the execution phase of utility projects. This position is integral to the packaging of construction materials for transmission and substation utility projects, collaborating closely with utility contractors, E.P.C firms, and renewable energy developers. The Project Coordinator will handle various after-sales responsibilities, including order entry, expediting materials, preparing submittals, managing project files, and ensuring that project managers can focus on customer needs without being bogged down by administrative tasks. In this role, the Project Coordinator will practice positive professional and interpersonal relations, acting as a representative of goodwill for the company. They will enter orders into the Irby Solar Eclipse ERP system and interface with job management and project tracking systems to take ownership of assigned tasks. The position requires the ability to expedite materials from suppliers to meet on-site deadlines, resolve customer order issues promptly, and continuously develop technical knowledge of merchandise items to assist both customers and colleagues. Additionally, the Project Coordinator will prepare quotations for customers and maintain appropriate pricing systems to ensure accurate billing and customer satisfaction. The ideal candidate will be a team player, capable of effectively communicating with internal and external stakeholders, and will possess exceptional written, verbal, and presentation skills. They will also need to demonstrate proficiency in MS Office applications and have a quick learning ability regarding technology that supports the sales process. This role is essential for maintaining the efficiency and effectiveness of the Project Services Group, ultimately contributing to the success of Irby Utilities and its customers.

Responsibilities

  • Practice positive professional and interpersonal relations with customers and co-workers.
  • Enter orders on suppliers in the Irby Solar Eclipse ERP system.
  • Interface with job management and project tracking systems to complete assigned tasks.
  • Expedite materials from suppliers to meet required on-site dates.
  • Resolve customer order problems and complaints promptly.
  • Acquire and develop personal technical knowledge of merchandise items to assist customers.
  • Prepare quotations for customers where applicable.
  • Maintain appropriate company and/or customer pricing systems.
  • Utilize tools to organize opportunities and manage projects in the system.

Requirements

  • Exceptional communication skills: written, verbal, presentation, and negotiation.
  • Ability to meet deadlines and escalate issues when required.
  • Proficiency with MS Office (Word, Excel, & PowerPoint) and Adobe.
  • Quick learning ability regarding technology in support of the sales process.
  • Team player in dealing with internal and external stakeholders.

Nice-to-haves

  • Preferred minimum 3 years industry or distributor sales experience.
  • 5+ years business experience in the Utility Industry market desired.
  • Eclipse ERP knowledge.
