About the position

The Associate Project Coordinator plays a vital role in supporting the project management team in the planning, execution, and monitoring of projects within the organization. This entry-level position offers an excellent opportunity for individuals with little to no experience to gain valuable exposure to project management processes and develop foundational skills in project coordination. The position is located in Tampa, FL, and is a full-time hybrid role. The Associate Project Coordinator will report directly to the Manager of Project Coordination and will be involved in various aspects of project management, ensuring that projects are completed on time and within scope. In this role, the Associate Project Coordinator will assist in the development and maintenance of project plans, schedules, and timelines. They will coordinate project meetings, including scheduling, agenda preparation, and minute-taking. Monitoring project progress and tracking key milestones will be essential, ensuring adherence to timelines and deadlines. The Associate Project Coordinator will also support project documentation and reporting efforts, including status updates, progress reports, and project documentation. Additionally, the Associate Project Coordinator will assist in the identification and resolution of project issues and risks, providing administrative support to the project management team, including file management, data entry, and other clerical tasks. Collaboration with cross-functional teams will be necessary to ensure alignment and coordination of project activities, as well as assisting in the coordination of project resources, including personnel, equipment, and materials. The role will also involve participating in project review meetings and contributing insights and feedback to improve project processes and outcomes.

Responsibilities

  • Support project documentation and reporting efforts, including status updates, progress reports, and project documentation.

  • Provide administrative support to the project management team, including file management, data entry, and other clerical tasks.
  • Collaborate with cross-functional teams to ensure alignment and coordination of project activities.
  • Assist in the coordination of project resources, including personnel, equipment, and materials.
  • Participate in project review meetings and contribute insights and feedback to improve project processes and outcomes.

Requirements

  • 0 - 1 years of professional work experience, preferably in a project coordination or administrative support role, or equivalent military or practical experience.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management tools and software is a plus.
  • Ability to work effectively in a fast-paced, dynamic environment and collaborate with cross-functional teams.
  • Ability to successfully pass a background check post offer acceptance.

Nice-to-haves

  • Basic understanding of project management principles and methodologies is a plus.
