About the position

The Project Coordinator is a vital member of our project management office, playing a crucial role in the deployment of IT solutions that meet customer requirements. This position is integral to our global digital transformation efforts, ensuring the delivery of high-quality solutions that create value for our clients. The successful candidate will be responsible for managing their own project tasks while leveraging agile practices whenever possible. This role requires close interaction with cross-functional teams, including developers, data scientists, analysts, and domain experts, emphasizing collaboration, communication, and meticulous attention to detail. In this role, knowledge of agile practices is essential, as the Project Coordinator will work as part of a multi-functional agile team. Responsibilities include contributing to project plans, maintaining impeccable financial tracking, and managing the testing processes within the project. The Project Coordinator will assist the Project Manager by understanding project goals, deadlines, and priorities, as well as managing resource administration and financial management. Additionally, the role involves preparing presentations and performing general coordination and administrative tasks, which may include scheduling meetings. The Project Coordinator will report to the IT Project Management Office and have a dotted line to the IT Project Manager. While the Project Manager ultimately owns all project responsibilities, the Project Coordinator will provide essential support. Key tasks include managing financial trackers for forecasting and spending, updating related systems for project expenditures, monitoring and reporting on cross-project dependencies, and assisting project managers in developing work plans. The role also involves ensuring that quality, timeliness, and results meet Project and Portfolio Management expectations, leading quality inspections of key project documentation, and facilitating performance testing discovery sessions to determine testing requirements. Furthermore, the Project Coordinator will manage the impact of project changes on testing schedules and processes, coordinate project activities across various groups, and report on quality and testing status throughout the project lifecycle.

Responsibilities

  • Assist the Project Manager in understanding project goals, deadlines, and priorities.
  • Manage financial tracker for forecasting and spending.
  • Update related systems utilized for project spend.
  • Monitor and report on cross project dependencies.
  • Assist project managers with the development of work plans.
  • Monitor document repository to keep key information up to date.
  • Ensure quality, timeliness, and results meet Project and Portfolio Management expectations.
  • Lead and facilitate quality inspections of key project documentation and artifacts.
  • Facilitate performance testing discovery sessions for assigned projects to determine any performance testing requirements.
  • Manage any impact of project changes to testing schedule and process.
  • Coordinate project activities across multiple groups, including vendor partners, functional teams, technical teams, business representatives, and IT leadership.
  • Facilitate and provide guidance to project and business resources for test script development.
  • Report on quality and testing status for the duration of the project.
  • Develop Test Plan/Test Approach and appropriate success metrics for each testing cycle of the project.
  • Responsible for defect management and coordination by collaborating with the right teams to analyze defects to determine root cause and the appropriate path to resolution.

Requirements

  • Bachelor's degree in Computer Science, IT, IS, or equivalent area of technical study, or Associate's degree plus related experience.
  • 5+ years of experience as an IT project team member.
  • Strong meeting facilitation skills.
  • Strong financial acumen as it relates to project financials.
  • Strong analytical skills with the ability to analyze and identify project risks and make decisions based on risk analysis.
  • Proven leadership and collaboration skills.
  • Flexibility to adapt to changing environments and manage multiple project assignments simultaneously.
  • Exceptional communication skills, both written and verbal, with the ability to communicate appropriately at all levels of the organization.
  • Strong work ethic and positive attitude that fosters a collaborative work environment.
  • Ability to manage own workload and set priorities with little supervision.
  • Ability to adapt to and succeed in a fast-paced, changing environment.
  • Exhibits strong presentation and critical thinking skills.
  • Effective conflict resolution skills.
  • Advanced computer skills in Word, Excel, PowerPoint, and Teams.

Nice-to-haves

  • PMI PMP Certification in project management methodologies (desired but not required).
  • Certification in Agile/Scrum methodologies (desired but not required).
  • Experience with Planview.
  • Quality Management application experience - Micro Focus Quality Center knowledge and experience.
  • Power BI Report Creation (desired but other platforms may be required).
  • Knowledge of Jira, Confluence, and other associated Agile tools.
  • Knowledge and experience applying automated testing tools and processes.
  • Introductory Scrum or Agile Certifications/Training.
