About the position

The Project Coordinator will support the Operations Team at our Cleveland, OH location by managing essential administrative tasks throughout each stage of our environmental projects. Acting as a key liaison between Operations Management, internal departments, and customers, the Project Coordinator ensures that all project-related information is accurately and promptly entered into EnviroServe's system from work order creation to invoicing. This role is crucial in maintaining the flow of information and ensuring that all stakeholders are kept informed throughout the project lifecycle. In this position, the Project Coordinator will be responsible for creating and managing customer projects, recording all required project and customer details, and ensuring that all project pricing is entered and/or attached in the company's systems. The role also involves generating purchase requests, collaborating with operations to review and approve requests, and providing vendors with purchase order numbers as needed. The Project Coordinator will monitor daily project progress, providing detailed updates to operations management, internal departments, and other stakeholders, ensuring that all required project paperwork is complete, accurate, and entered into the company's ERP system for billing. Collaboration is key in this role, as the Project Coordinator will work with internal departments to ensure projects move through each stage of the life cycle in a timely manner. Financial management is also a critical aspect, as the Project Coordinator will ensure that all project revenues and costs are properly accounted for in the company's ERP system. Additionally, the Project Coordinator will assist in the development and implementation of project plans and strategies as needed, coordinate with internal teams to process and approve purchase order change orders, and address outstanding or incomplete paperwork with operations and internal teams.

Responsibilities

  • Create and manage customer projects, recording all required project and customer details.
  • Ensure all project pricing is entered and/or attached in the company's systems.
  • Generate purchase requests and collaborate with operations to review and approve requests.
  • Provide vendors with purchase order numbers as needed.
  • Monitor and follow up on daily project progress, providing detailed updates to operations management and stakeholders.
  • Ensure all required project paperwork is complete, accurate, and entered into the company's ERP system for billing.
  • Work with internal departments to ensure projects move through each stage of the life cycle in a timely manner.

  • Address outstanding or incomplete paperwork, missing labor/equipment hours, and incomplete registered arrivals.

Requirements

  • High School Diploma or G.E.D.
  • Strong computer and data entry skills.
  • Proficient in Microsoft Word and Excel.
  • Proactive problem-solving skills and the ability to handle customer issues with empathy and efficiency.
  • Ability to work in a high pressure, high volume, fast paced environment.
  • 1-2 years in customer service, sales support, or a related role.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with customers and Team Members.
  • Strong organizational and multitasking skills, with a high level of attention to detail.

Nice-to-haves

  • Educational background in Environmental Studies, Sustainability, Business Administration, or a related field.
  • Experience in the environmental industry.
