About the position

BGIS ITS is currently seeking a Project Coordinator to join the team in Hudson, FL and surrounding areas. This role is essential for ensuring that the schedule, budget, and details of various projects are well organized. The Project Coordinator will be responsible for communicating with stakeholders about any changes or delays to the project plan, ensuring that all aspects of the project are managed effectively. The Project Coordinator will work closely with Project Managers and Superintendents to resolve issues related to paperwork, invoices, and receipts. They will prepare daily paperwork for the Project Manager's approval, ensuring that all documentation is scanned, attached, filed, and forwarded to the processing department. Additionally, the Project Coordinator will perform clerical tasks associated with projects as directed by the Project Manager and Director, manage project planning and schedules, and document and resolve any subcontractor and vendor billing issues. This position requires a proactive approach to project management, including the development and implementation of comprehensive construction plans. The Project Coordinator will monitor progress towards goals, anticipate potential problems, and deliver accurate and timely data to support project forecasts. They will also organize meetings, provide invitations, and document action items and minutes to ensure effective communication among all stakeholders involved in the project.

Responsibilities

  • Communicates with Project Managers and Superintendents to resolve issues with paperwork, invoices, receipts, etc.
  • Prepares daily paperwork for Project Manager's approval, scans, attaches, files, and forwards to processing department.
  • Performs clerical tasks associated with projects as directed by Projects Manager and Director.
  • Manages and assists with project planning and schedules.
  • Documents and resolves subcontractor and vendor billing issues.
  • Takes responsibility for the development and implementation of a comprehensive construction plan.
  • Monitors progress towards goals to anticipate potential problems.
  • Delivers accurate and timely data to support project forecasts.
  • Organizes, plans, and provides meeting invitations, action items, and minutes.

Requirements

  • High School Diploma required.
  • Proven work experience as a Project Coordinator or similar role preferred.
  • Demonstrated proficiency for all the responsibilities of a Construction Project Coordinator.
  • Proficient or knowledgeable with scheduling software: Smartsheets required.
  • Knowledge of Microsoft Office Suite - Word, Excel, PowerPoint, and Outlook required.
