About the position

As a Project Coordinator at Innova Solutions, you will play a crucial role in facilitating engineering and construction projects by collaborating closely with the Project Manager and the project team. Your primary responsibility will be to provide and present administrative project information, ensuring that all stakeholders are informed and aligned throughout the project lifecycle. This position requires you to coordinate both externally and internally with clients and project management to deliver effective solutions that meet project and program needs. You will be responsible for disseminating information to vendors, suppliers, clients, and project teams, which is essential for maintaining clear communication and effective project management. In this role, you will resolve questions regarding the project by researching and providing appropriate answers. You will prepare and present meeting notes, presentations, and tables using various software programs such as Excel, PowerPoint, and Access. Additionally, you will manage project setup preparation and compile documentation updates, ensuring that all project materials are accurate and up-to-date. Monitoring project deadlines and benchmarks will be a key part of your responsibilities, as you will support the presentation of monthly progress reports that cover action items and updates on project progress. You will also plan, coordinate, and facilitate both on-site and off-site meetings for the project, which may include project orientation and training sessions, stakeholder meetings, team meetings, and periodic reviews. Coordinating the required training programs and maintaining records for project personnel in conjunction with the corporate training department will be essential to ensure compliance with project requirements. You will obtain physical sign-offs of project documents and maintain both electronic and paper files, verifying the accuracy and compliance of bills, invoices, trip tickets, and expense reports, processing these items in a timely manner. Managing IT resources for project offices and staff by coordinating with internal support departments will also be part of your duties. You will provide follow-up reports on accounts receivable and unbilled issues as assigned, administer project closeout activities, and compose project cost forecast updates. Running PPS reports, establishing priorities and deadlines on project deliverables, investigating project expenses not billed to the client, and assisting the Project Manager in preparing client contracts and sub-contracts will round out your responsibilities. You may also be required to develop procedures pertaining to internal project requirements and perform other duties as assigned, all while complying with company policies and standards.

Requirements

  • Bachelor's Degree in a related field and 8 years of experience required, or an Associate Degree in a related field and 10 years of experience required, or a High School Diploma/GED and 11 years of experience required.
  • Ability to work independently, demonstrating accuracy, reliability, organization, and problem-solving skills.
  • Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint is required.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills and ability to handle multiple tasks.
  • Demonstrated ability to communicate with all levels within an organization.
