About the position

The Project Coordinator role is designed to provide essential administrative support to the Wastewater Branch, acting as a vital link between customers, subcontractors, field technicians, and project managers. This position involves a variety of office tasks, including managing permits, submittals, safety talks, project closeouts, and data entry, ensuring smooth communication and efficient project execution.

Responsibilities

  • Assist in associated communications between customers, subcontractors, vendors, supervisors, project managers, and field personnel.
  • Enter jobs/job information into the accounting system.
  • Compile needed information for material purchases, submittals, and O&M manuals per PM request.
  • Pull permits for worksites and request inspections.
  • Type up proposals/service agreements as needed.
  • Assist with ordering equipment for jobs.
  • Print plans/specs as needed.
  • Help schedule and facilitate job take-off meetings.
  • Assist with job closeout documentation.
  • Maintain required records for supervisor and/or department.
  • Maintain filing systems.
  • Photocopy documents as required.
  • Ensure routine work items are completed in a timely manner.
  • Follow up and expedite late items.
  • Perform additional assignments as directed.
  • Coordinate branch meetings, banquets, and special projects as needed.

Requirements

  • Strong communication skills to effectively liaise between various stakeholders.
  • Proficiency in data entry and management of job information.
  • Ability to compile and organize information for material purchases and submittals.
  • Experience in handling permits and inspections for worksites.
  • Familiarity with proposal and service agreement documentation.
  • Organizational skills to maintain filing systems and records.

Nice-to-haves

  • Experience in the construction or wastewater industry.
  • Knowledge of accounting systems related to job information entry.
  • Ability to manage multiple tasks and prioritize effectively.
