About the position

The Project Coordinator at Aston Carter is responsible for managing and coordinating various aspects of shipping and crating operations. This role involves utilizing software systems to track orders, maintain inventory logs, and ensure timely delivery of materials while adhering to safety regulations. The Project Coordinator will also communicate with vendors and customers, process shipping paperwork, and support the Crating Manager in daily operations.

Responsibilities

  • Utilize SAP to print transfer orders, complete delivery notes, and monitor order and inventory status.
  • Maintain a detailed log of all deliveries and crates created.
  • Process shipping and receiving paperwork, including packing slips and crate labels.
  • Communicate with vendors and customers to ensure timely and accurate order fulfillment.
  • Track shipments and delivery dates to ensure on-time deliveries.
  • Ensure proper packaging and labeling of hazardous materials and maintain Safety Data Sheets (SDS).
  • Use multiple software programs, including Microsoft Office products and Siemens TMS, to support daily operations.
  • Create crates tickets using BOXCAD and coordinate with the material specialist for accurate documentation handling.
  • Support crating operations by preparing quotes and processing invoices for special crates.
  • Process purchase orders in the system.
  • Perform a monthly reconciliation between the crate log and the internal system.
  • Address and log crating-related customer complaints and ensure clear communication with the picking-packing team.
  • Update and maintain storage location logs for crating and track final shipping dates.
  • Perform material transfers for crating inventory.
  • Generate and reconcile reports on shipments, inventory, and financials.
  • Prepare packing lists and shipping labels.
  • Coordinate with the shipping specialist to ensure completion of all tasks for all materials needing to ship.
  • Provide all necessary information to carriers and forwarders for shipments.
  • Correspond with customers, carriers, and forwarders to ensure timely shipping of materials.
  • Update customers with tracking details and follow up on any discrepant shipments.

Requirements

  • Experience using SAP for processing orders and inventory management.
  • Proficiency in Microsoft Office products and Siemens TMS.
  • Knowledge of Safety Data Sheets (SDS) and multimodal dangerous goods forms.
  • Strong communication skills to interact with vendors and customers.
  • Detail-oriented with strong problem-solving abilities.
  • Excellent time management skills.

Nice-to-haves

  • Experience with BOXCAD software.
  • Previous experience in a shipping or logistics role.
