About the position

The Project Coordinator at Moffatt & Nichol will support project managers in executing operational and administrative tasks related to large complex waterfront infrastructure projects. This role involves assisting in project execution, setup, closure, and may include participation in bid and construction support. The position is based in Baton Rouge or New Orleans and requires strong organizational and communication skills to effectively manage multiple responsibilities.

Responsibilities

  • Support project managers in executing operational and administrative tasks.
  • Document proofreading and editing using Microsoft Office products.
  • Compile, create, revise, format, and edit documents.
  • Quality check data, tables, formulas, and formats within spreadsheets for accuracy.
  • Organize and support regular technical meetings, assist in note-taking.
  • Train Project Assistants as needed.
  • Setup opportunities in BST10 Smart Client with assistance from project leadership.
  • Submit contracts for review and develop draft teaming agreements for legal review.
  • Develop and update project plates for marketing and write resumes for specific pursuits.
  • Setup project numbers and budget worksheets in BST with assistance from the management team.
  • Maintain on-call contract sheets and costing sheets for accurate cost estimates.
  • Organize and obtain necessary documentation from vendors and subcontractors.
  • Prepare meeting notes, transmittals, and assist in reviewing subcontractor invoices.
  • Assist in online delivery of large project files via Newforma system.
  • Coordinate project closure reports and archive closed projects according to procedure.
  • Assist PMs with creation of bid documents and manage bid-related activities.
  • Process construction RFIs and submittals, and update status logs.

Requirements

  • Bachelor's Degree in a related field or relevant experience.
  • 5+ years of relevant experience in project coordination or management.
  • Excellent communication skills (verbal, written, and presentation).
  • Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Proficiency with Adobe Acrobat Professional, Bluebeam, Newforma, and Microsoft Windows.

Nice-to-haves

  • Experience with BST or similar ERP systems.
  • Proficiency in Microsoft Teams and Zoom.
