About the position

Raymond West is seeking a dynamic Project Coordinator to join our Systems team in Santa Fe Springs, CA. The Project Coordinator plays a crucial role in providing sales coordination support to our outside Account Managers. This position involves verifying customer credit worthiness with our internal credit department, placing sales orders with vendors and/or manufacturers, processing vendor invoicing, and generating sales invoices for customers. The Project Coordinator is dedicated to fostering and maintaining positive relationships with customers, outside Account Managers, and vendors/manufacturers, ensuring that all parties are satisfied with the service provided. In this role, the Project Coordinator will be responsible for a variety of tasks that are essential to the smooth operation of our sales processes. This includes maintaining accurate financial reports for all costs associated with each job, coordinating the delivery of orders based on customer requirements, and following up on the status of all open or undelivered vendor orders. The Project Coordinator will also process customer invoicing for sales orders, communicate with sales representatives or project managers regarding job progression, and handle vendor payables. Additionally, the role requires providing coordination support for ship-in sales, negotiating pricing, and ensuring that all documentation is kept neat and organized in our online systems. The Project Coordinator will also be tasked with generating customer invoices promptly, processing vendor/manufacturer payables in a timely manner, calculating Account Manager sales order commissions, and assisting in accounts receivable collections as necessary. This position requires a proactive approach to maintaining up-to-date reporting in logs and scheduling installations, deliveries, and asset pickups. The ideal candidate will possess strong organizational skills and the ability to manage sales orders from inception to completion, all while maintaining effective working relationships with colleagues and managers across departments.

Responsibilities

  • Provide sales coordination support for the Account Managers by placing vendor orders.
  • Maintain an accurate financial report of all costs being submitted per every job.
  • Coordinate delivery of orders based on customer requirements.
  • Follow up for status of all open/undelivered vendor orders.
  • Process customer invoicing for sales orders.
  • Communicate with Sales rep or Project managers on progression of jobs.
  • Process vendor payables.
  • Provide coordination support for ship-in sales.
  • Create and maintain positive supplier/manufacturer relationships.
  • Negotiate pricing and maintain or increase available discounts.
  • Process sales orders and purchase orders in a prompt and timely manner.
  • Keep neat, accurate records of all documentation in online organized system.
  • Generate customer invoices for sales orders in a prompt and timely manner.
  • Processing vendor/manufacturer payables in a prompt and timely manner.
  • Calculate Account Manager Sales order commissions.
  • Monitor and update equipment in accounting system.
  • Assist in Accounts Receivable collection, as necessary.
  • Maintain all reporting up to date in logs.
  • Process orders in online system order entry systems.
  • Schedule installations, deliveries and all assets for delivery or pick up.

Requirements

  • High school diploma or equivalent with related work experience.
  • Excellent management skills.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Ability to perform duties under minimal supervision.
  • Proficient in Microsoft Office Suite and similar software.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to speak effectively before groups of customers or employees of an organization.
  • Ability to maintain effective working relationships with employees, co-workers, and managers in other departments.
  • Willingness to work off-hours as specific needs dictate and assume more responsibility as required.
  • Possess strong business math skills.
