About the position

The Project Coordinator is responsible for coordinating a number of administrative tasks to support the US ERP project and team throughout the duration of the project to go-live and after the hypercare phase. This role involves managing calendars, scheduling meetings for the project team and US staff, facilitating meeting minutes, tracking and following up on project tasks, creating and updating presentations, coordinating international and domestic travel, and performing various other administrative duties as required. The position requires accommodating various time zones due to the global locations of the project team. In this role, the Project Coordinator will partner with business leaders to deliver services that align with company objectives and adhere to the Winning Together values. They may run, administer, and organize project activities in cooperation with and under the direction of the ERP project manager and project leads. The coordinator will work with internal stakeholders to communicate resources, schedules, and product deliveries, ensuring accountability for project results while staying on-budget and on-schedule, and maintaining client satisfaction. The Project Coordinator will provide status reports throughout the project, highlighting any issues or delays against delivery commitments, and will quickly escalate any project-related issues that could negatively affect customer satisfaction. They will assist the Project Manager in coordinating resources required for project delivery, schedule meetings using MS Teams, and coordinate with the CPO team for US staff all-hands meetings. Additionally, they will take meeting minutes, track open issues, and provide follow-up as necessary. The role also includes maintaining travel arrangements and itineraries for the ERP project team, assisting with visa administration for international travel, creating and updating PowerPoint presentations for various updates and all-hands meetings, supporting vendor invoicing and purchase orders, coordinating events related to go-live for all US offices, and performing various administrative duties to support the project through go-live and the hypercare phase. The Project Coordinator is expected to embrace and support Computacenter's mission and core values.

Responsibilities

  • Coordinate administrative tasks to support the US ERP project and team throughout the project duration and hypercare phase.
  • Manage calendar and schedule meetings for project team and US staff.
  • Facilitate meeting minutes and track project tasks.
  • Create and update presentations for project updates and all-hands meetings.
  • Coordinate international and domestic travel arrangements for the ERP project team.
  • Assist in administration of visa duties for international travel.
  • Provide status reports on project issues or delays against delivery commitments.
  • Escalate project-related issues that may affect customer satisfaction.
  • Support the Project Manager in coordinating resources for project delivery.
  • Schedule meetings using MS Teams and coordinate with CPO team for all-hands meetings.
  • Maintain travel itineraries and arrangements for the project team.
  • Support vendor invoicing and purchase orders as requested.
  • Coordinate go-live events for all US offices.
  • Perform various administrative duties as needed to support the project.

Requirements

  • High school diploma or equivalent; Bachelor's degree preferred.
  • Minimum 3 years of experience in Project Management within the IT industry.
  • Experience with ERP project support is highly desired.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills; able to work well with diverse teams.
  • Ability to multi-task and work efficiently in a fast-paced environment.
  • Strong working knowledge of computer applications (e.g., Windows, Microsoft Office, Excel, PowerPoint, Salesforce).
  • Legally eligible to work in the United States.
