About the position

The Assistant Project Coordinator plays a vital role in supporting field staff by ensuring they have the necessary equipment, resources, and materials to complete their assignments on time. This position involves overseeing procurement, delivery, and invoicing processes for project materials, while maintaining effective communication with team members regarding any changes that may affect project timelines.

Responsibilities

  • Procure necessary equipment, materials, and rental items for field staff to facilitate the completion of construction projects.
  • Monitor the status of job materials and their delivery dates to uphold accurate inventory levels and ensure alignment between invoices and financial transactions.
  • Promptly escalate any issues potentially impacting project deadlines to the Project Coordinator, facilitating proactive measures and communication with management.
  • Maintain up-to-date project management logs daily and prepare for weekly meetings, ensuring all necessary materials are organized and ready for report out.
  • Verify invoice corrections against active purchase orders (POs) daily.
  • Coordinate truck schedules for supply pickups and deliveries to designated job locations.
  • Perform other duties as assigned.

Requirements

  • Minimum of 3 years of administrative assistant experience
  • Proficiency in MS Office suite, especially Excel and Planner
  • Demonstrated problem-solving abilities and critical thinking skills
  • Strong sense of urgency to support field and office staff to complete job assignments on time
  • Strong interpersonal skills, demonstrated through above-average phone etiquette and email correspondence
  • Demonstrated project management and organizational skills
  • Ability to work with limited supervision and work autonomously
  • Proven follow-through to ensure project/job materials are issued in a timely fashion
  • High degree of detail orientation and accuracy
  • Previous project management or administrative experience in a high-volume construction environment
