About the position

The Project Coordinator I plays a crucial role in supporting various projects and administrative operations under the guidance of the Director or their designee. This position is designed for individuals who can independently manage multiple projects while ensuring alignment with departmental objectives. The Project Coordinator is expected to engage actively in project teams, contributing to project development activities, and maintaining effective communication with key personnel, including department heads and external stakeholders. The role requires a proactive approach to organizing and planning work activities, as well as the ability to adapt to changing priorities within the department. In this position, the Project Coordinator will be responsible for implementing and managing tasks that align with the goals of the department. This includes compiling and analyzing data, drafting reports, and preparing multi-media presentations using various software applications such as Microsoft Word, PowerPoint, and Visio. The Project Coordinator will also maintain project plans in Microsoft Project, produce related reports, and ensure that all project files and support materials are organized and up to date. Regular updates to the Director or designee regarding project details and changes are essential to keep all stakeholders informed. The Project Coordinator will also be tasked with drafting routine correspondence, meeting minutes, and management reports for the Director and department staff. This role requires excellent communication skills, both oral and written, to effectively interact with clients and staff. The ability to work collaboratively in a team environment while meeting performance deadlines in a dynamic setting is critical for success in this position.

Responsibilities

  • Organize and plan work activities of the Department for review with appropriate senior staff
  • Implement and manage tasks in accordance with departmental objectives
  • Participate as a member of project teams
  • Assist senior staff with project development activities: compiling data, drafting reports, and assisting with special projects
  • Maintain project plans in Microsoft Project and produce related project reports
  • Compile and analyze data, and draft project reports for review by senior staff
  • Initiate and maintain contact with key personnel including staff, department heads and external parties
  • Update the Director or designee on project details and changes in a timely manner
  • Review pertinent correspondence, communications and other background materials on a daily basis to remain current on project and operation details
  • Draft routine correspondence, meeting minutes, management reports for the Director or designee and department staff
  • Prepare multi-media presentations and reports utilizing a variety of software applications including, but not limited to: Microsoft Word, PowerPoint, and Visio
  • Develop and maintain time schedules for department staff, project events and office activities
  • Maintain project files and support materials
  • Perform other duties as required.

Requirements

  • Bachelor's degree in business administration, a related field, or equivalent experience
  • 1 year of experience coordinating and planning projects
  • Ability to work in a team and meet performance deadlines in a dynamic environment
  • Excellent oral and written communication skills necessary to interact with clients and staff
  • Demonstrated experience in using computer-based tools including electronic mail, word processing, spreadsheet and database products.
