About the position

As a Project Coordinator at Gensler, you will play a crucial role in providing coordination and administrative support throughout the life of various projects. This includes managing tasks from the initial proposal stage through design phases to project close-out, ensuring high levels of customer service and effective communication with clients, vendors, and team members.

Responsibilities

  • Provide high-level customer service to Gensler staff, clients, vendors, and business partners.
  • Manage workload by prioritizing tasks, following up on outstanding items, and ensuring deadlines are met.
  • Coordinate project start-up tasks including contracts, RFPs, proposal letters, and work authorizations.
  • Maintain project directories and cloud-based file sharing sites.
  • Assist in early project phases by managing programming data worksheets and consultant contracts.
  • Ensure accurate project file documentation and maintenance of various logs.
  • Set up and manage Bluebeam Studio for project documentation.
  • Coordinate QA/QC documents and project manuals during construction documentation phases.
  • Log RFIs and submittals, manage files, and assist with invoice assemblage for accounting.
  • Support managers with staffing and revenue plans, and request insurance certificates.
  • Schedule and coordinate meetings, and attend to take minutes and document information.
  • Organize and update Microsoft Teams project pages and manage training for other coordinators.

Requirements

  • 3+ years of experience as a project coordinator or in a similar administrative role.
  • Experience within an architecture or design firm is highly desired.
  • Bachelor's Degree preferred.
  • Ability to effectively prioritize tasks with strong time management skills in a fast-paced environment.
  • Superior verbal and written communication skills.
  • Highly organized with strong attention to detail.
  • High level of professionalism and strong sense of urgency.
  • Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint).
  • Proficiency in Word, InDesign, Photoshop, and MS Project preferred.
  • Ability to work with minimal guidance; proactive and motivated self-starter.
  • Proficiency with Zoom, Microsoft Teams, and conferencing systems.
