About the position

The Project Coordinator at The Village For Families & Children plays a crucial role in ensuring the successful planning, execution, and completion of various projects and tasks within the organization. This position demands exceptional organizational skills, attention to detail, and the ability to effectively communicate and collaborate with various programs and staff. The Project Coordinator will be responsible for coordinating project activities and tasks, tracking progress, managing timelines, and facilitating effective communication among team members. Additionally, the Project Coordinator will serve as the point person for the applicable programs, ensuring that they have the necessary resources to complete their assignments or tasks. In this role, the Project Coordinator will collaborate with managers and relevant staff to develop project plans, initiate various tasks and assignments, including timelines and resource allocation. They will coordinate project meetings, which includes scheduling, preparing agendas, and taking meeting minutes. The Project Coordinator will also ensure that project activities are well-coordinated, tasks are assigned appropriately, deadlines are met, and resources are allocated effectively. As the central point of contact for program tasks and project-related inquiries, the Project Coordinator will provide timely and accurate information and updates to management and applicable staff, ensuring that all team members have what they need for the successful completion of their tasks. Moreover, the Project Coordinator will provide administrative support and back-up for other agency departments and sites, demonstrating strong project management skills, including the ability to assist with grant writing and compiling information from multiple sources. This position requires the ability to work independently, proficiency in Microsoft Excel, and the capability to create visuals and PowerPoint presentations. Good verbal communication and customer service skills are essential, as is the ability to perform other duties as assigned by the supervisor or management.

Responsibilities

  • Collaborate with managers and applicable staff to develop project plans, initiate various tasks/assignments including timelines and resource allocation.
  • Coordinate project meetings, including scheduling, agenda preparation, and meeting minutes.
  • Coordinate project activities - ensuring tasks are assigned, deadlines met, and resources allocated appropriately.
  • Serve as central point of contact for program tasks and/or project-related inquiries, providing timely and accurate information/updates to management or applicable staff.
  • Ensure staff have what is needed for successful completion of tasks or assignments.
  • Provide administrative support and back-up for other agency departments and sites.
  • Assist with grant writing and compiling information from multiple sources.

Requirements

  • High school diploma or equivalent required, degree preferred.
  • Proficient in the Microsoft suite (Outlook, Word, Excel).
  • Detail-oriented with the ability to multi-task on multiple tasks or projects.
  • Ability to work in a team environment.
  • Culturally competent to work with diverse populations and interact with others.
  • Knowledge of federal HIPAA laws.
  • Punctual and flexible.
  • Physically able to perform the essential functions of the position, with or without reasonable accommodations.
