About the position

Draco Natural Products is seeking a full-time Marketing/Executive Assistant to support the CEO in various tasks and responsibilities. This role is pivotal in ensuring smooth executive communications and facilitating the operational needs of the company. The position is based at our headquarters in San Jose, CA, and offers significant growth and learning opportunities in a dynamic environment. The ideal candidate will be proactive, organized, and capable of managing multiple tasks efficiently. As a Marketing/Executive Assistant, you will coordinate executive communications, which includes taking calls, responding to emails, and interfacing with clients. You will also conduct preliminary market research, data collection, and feasibility analysis of new projects, analyzing recent industry trends, compiling findings into reports, and providing actionable recommendations. Your role will involve organizing project scopes, drafting relevant documents, and creating status reports while maintaining an organized filing system for both paper and electronic documents. Additionally, you will assist in the completion of investment plans, participate in business negotiations, and draft related business documents. You will take charge of internal and external communications, drafting project introductions and related documents, and presenting slides. Scheduling meetings and appointments, as well as managing travel itineraries, will also be part of your responsibilities. This position requires a minimum of three years of work experience as an executive assistant, in marketing, business development, or a similar role, along with solid experience in office management systems, including ERPs and MS Office.

Responsibilities

  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.

  • Organize project scopes and draft relevant documents as needed.
  • Create status reports and update internal databases.
  • Maintain an organized filing system of both paper and electronic documents.
  • Assist in the completion of investment plans, participate in business negotiations, and draft related business documents.

  • Schedule meetings and appointments and manage travel itineraries.

Requirements

  • Minimum three years of work experience as an executive assistant, marketing, business development, or similar role.
  • Solid experience with office management systems, including ERPs, MS Office, etc.
  • Familiarity with online calendars and cloud systems.
  • Strong written and communication skills (via phone, email, and in-person).
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Excellent organizational skills with an ability to think proactively and prioritize work.
  • Undergraduate degree or above, especially in finance or science majors, is preferred.
  • Bilingual (speaking and writing) in Chinese and English.
