About the position

The Project File Coordinator at Thorpe Design, Inc. is a vital role responsible for the organization and management of project documentation throughout the lifecycle of construction projects. This position requires a detail-oriented individual with a minimum of three years of administrative experience in the construction industry. The coordinator will be tasked with verifying new project documentation for completeness, reviewing contracts, and ensuring that all necessary information is accurately recorded and maintained. The ideal candidate will possess strong communication skills, exceptional organizational abilities, and the capacity to manage time effectively to meet project deadlines. In this role, the Project File Coordinator will set up projects in ProContractor according to contract terms, send out preliminary notices, and track certified mail. They will also create and maintain project folders, ensuring that all required documents are retained properly. As projects progress, the coordinator will maintain these folders and eventually work towards the electronic scanning of project documents. Additionally, the coordinator will maintain billing logs for each division, run monthly reports to track invoicing and payments, and archive closed projects to ensure that all documentation is organized and accessible. The position is full-time, requiring a commitment of 40 hours per week, typically from Monday to Friday. The successful candidate will work in person at the Brentwood, CA location and must be able to commute or relocate as necessary. This role is essential for ensuring that all project documentation is accurate, complete, and compliant with company standards, ultimately contributing to the overall success of construction projects.

Responsibilities

  • Verify new project documentation for completeness.
  • Review contracts including payment cycle/draw dates, schedule of values, retention, and waivers.
  • Verify customer setup in ProContractor and review existing customers to ensure information is current.
  • Set up projects in ProContractor per contract terms.
  • Send out Preliminary Notices to applicable projects and track certified mail, researching any returned as undeliverable.
  • Create project folders and maintain required documents for retention purposes.
  • Maintain folders during the project lifecycle.
  • Work towards the future goal of electronic scanning of projects.
  • Maintain billing logs for each division.
  • Run monthly reports to determine projects that are 100% invoiced and paid.
  • Archive closed projects.
  • Maintain the file room.

Requirements

  • High School Diploma or Equivalent
  • Minimum of 3 years of administrative construction experience
  • Experience with preliminary notices and contracts is a plus
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent communication skills, both written and verbal
  • Strong organizational skills and attention to detail
  • Proven ability to follow up and resolve issues in a timely manner
  • Ability to work independently and collaboratively within a team environment
  • Knowledge of construction billing software (e.g., Procore, SupplyPro, Viewpoint) is advantageous
