About the position

As a CBRE Project Management Coordinator, you will play a vital role in supporting the project management team for a financial services client. This position involves providing essential administrative support, which includes preparing project documentation, processing invoices and pay applications, and conducting financial reconciliations. You will be responsible for managing various aspects of project documentation, ensuring that all necessary information is accurately recorded and maintained throughout the project lifecycle. Your duties will include processing documentation for project commitments, obtaining external quotes, and coordinating change orders and directives with consultants and vendors. You will also be tasked with scheduling meetings and developing communication plans to facilitate collaboration among teams and clients. Additionally, you will assist with contract administration, which involves attending tender openings, recording results, and issuing letters of acceptance or regret. In this role, you will enter project information into project management technology tools, specifically Kahua, and help with project administration deliverables. You will also assist in the project closeout process, ensuring that turnover documentation and financial reconciliations are completed accurately. Your work will be guided by established procedures, and you will be expected to deliver your output under close supervision and guidance, following defined methods and tasks.

Responsibilities

  • Process documentation for project commitments.
  • Obtain external quotes for processing.
  • Coordinate change orders, change directives, and contemplative change notices with consultants and vendors.
  • Schedule meetings and communication plans regarding projects among teams and clients.
  • Assist with contract administration, including attending tender openings and recording results.
  • Issue letters of acceptance and regret.
  • Enter project information and data into project management technology tools including Kahua.
  • Process invoices and pay applications.
  • Help with project administration deliverables.
  • Assist the project closeout process including turnover documentation and financial reconciliation.
  • Use existing procedures to solve straightforward problems.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products; experience with Kahua is strongly desired.
  • Strong organizational skills with an inquisitive mindset.
  • Basic math skills, including the ability to calculate simple figures such as percentages, discounts, and markups.
  • Ability to work onsite at the client's office location in one of the three market areas AZ, FL, or NY.

Nice-to-haves

  • Experience in project management or construction-related fields.
  • Familiarity with financial services industry practices.
