About the position

The Project Management & Resourcing Coordinator plays a vital role in providing administrative, technical, and task management support for the Project Management and Resourcing Team at Sound Transit. This position involves a variety of responsibilities including scheduling meetings, managing sensitive information, updating SharePoint sites, and supporting divisional leadership and staff. The coordinator will also contribute to process improvements and promote a culture of diversity, equity, and inclusion within the organization.

Responsibilities

  • Provide general support and coordination of activities for business unit leadership and staff, and internal and external customers and stakeholders.
  • Act as a communication liaison between various business unit leadership and staff, as well as other stakeholders.
  • Manage and maintain records, databases, and folder/filing systems to ensure accurate and accessible documentation.
  • Provide basic technology support and troubleshooting for business unit staff and escalate to IT for additional support when needed.
  • Coordinate and support onboarding, training, and professional development for business unit staff as needed.
  • Coordinate scheduling of staff for meetings; prepare presentation materials and similar documents and support meeting presentations; develop, finalize, and distribute meeting minutes.
  • Identify process improvements and self-initiate proposals for improvements in division organizational work.
  • Utilize change management principles when supporting, leading or implementing projects or work packages.
  • Champion and model Sound Transit's core values and demonstrate values-based behaviors in everyday interactions across the agency.
  • Contribute to a culture of diversity, equity, and inclusion in alignment with Sound Transit's Equity & Inclusion Policy.

Requirements

  • Associate's degree and three years of experience in office coordination work; or an equivalent combination of education and experience.
  • Strong organizational skills, general office management principles and practices, and administrative practices.
  • Proficiency with Microsoft 365 applications (Excel, SharePoint, Teams, etc).
  • Excellent verbal and written communication and interpersonal skills, with the ability to engage with stakeholders at all levels.
  • Attention to detail and follow-through on small and large tasks.
  • Strong relationship management and interpersonal skills, especially working with a variety of people.
  • Ability to establish and maintain effective working relationships with other agency staff, management, vendors, and outside agencies.
  • Ability to work effectively under pressure, meet deadlines, and adjust to changing priorities.
  • Willingness and ability to learn new skills, tools, and technologies quickly and be able to use in the role effectively.
