About the position

The Project Manager Assistant (PMA) at Nabholz Construction serves as a vital support role for Project Managers, handling various administrative tasks and project support activities. This position is essential for ensuring smooth project operations and effective communication within the team and with subcontractors. The PMA will manage office systems, assist with financial reporting, and coordinate marketing efforts, contributing to the overall success of construction projects.

Responsibilities

  • Manage administrative support functions and complex tasks, prioritizing workload effectively.
  • Set up office systems including file maintenance and project management for personal work.
  • Prepare and compose letters, reports, and correspondence while maintaining confidentiality.
  • Answer incoming phone calls and manage postal deliveries including UPS and FedEx.
  • Utilize AIA Documents Program and notarize documents as needed.
  • Act as the point of contact for subcontractor registration and classification.
  • Receive, scan, code, and route paper invoices in the accounting system.
  • Run and provide monthly financial reports and assist with project status reports.
  • Assist with monthly expense reports and lead travel arrangements.
  • Support RFQ/RFP production and distribute marketing materials.
  • Coordinate marketing events and participate in special activities as requested.

Requirements

  • 1-2 years of business or technical training plus a minimum of 2 years' administrative experience or equivalent training and experience.
  • Proficiency in Microsoft Office and Timberline Gold Accounting software.
  • Experience with Procore Project Management software.
  • Strong organizational skills for maintaining department files.
  • Excellent written and oral communication skills.

Nice-to-haves

  • Experience in the construction industry.
  • Familiarity with project management software and tools.
