About the position

The Project Manager for the Communications Team at a prominent non-profit foundation plays a crucial role in supporting various daily activities and long-term priorities of the team. This position is ideal for a detail-oriented and skilled project manager who excels in taking projects from ideation to execution. The successful candidate will be a motivated self-starter who thrives in a fast-paced environment with multiple deadlines and possesses a team-oriented mindset, willing to collaborate and be flexible to achieve project goals. In this role, the Project Manager will manage and track communication-related projects, events, and tasks, ensuring that all deliverables meet established deadlines. Responsibilities include coordinating and maintaining calendars for Communications team members, including the editorial calendar, monitoring project timelines, and following up on delegated tasks to ensure seamless project execution. The Project Manager will also conduct research, support grantee communications, and update the editorial calendar and website as needed. Additionally, the Project Manager will manage and organize digital assets such as photos and videos, ensuring proper categorization and usage. The role involves supporting internal communications efforts, working closely with Communications colleagues and the broader staff to plan meetings and facilitate effective information exchange across the organization. The Project Manager will assist the Chief Communications Officer in scheduling meetings and ensuring that meeting agendas and materials are prepared and distributed promptly. Event management is another key aspect of this role, which includes logistics such as meeting room bookings, AV-IT support, catering, and agenda planning, as well as interacting directly with attendees. The Project Manager may also coordinate off-site meetings, conferences, larger convenings, and other events and travel arrangements as applicable. Finally, the Project Manager will assist in preparing for meetings and engagements by ensuring that Communications team members are fully briefed and prepared, attending meetings to document critical commitments and required follow-ups, and ensuring prompt action on all activities.

Responsibilities

Requirements

  • Bachelor's degree required.
  • 3 years of experience in project management or related field.
  • Strong project management skills and methodologies.
  • Excellent scheduling and planning abilities.
  • Proficient in maintaining calendars and managing multiple deadlines.
  • Experience in business operations and communications.
