About the position

The Project Manager at Solaire Events LLC will oversee the logistics, staffing, and execution of large-scale event installations. This role is critical in ensuring that event decor projects are executed smoothly and efficiently, including managing inventory, ordering materials, hiring staff, and overseeing the installation and breakdown of decor. While much of the work can be done remotely, the Project Manager will need to be onsite for installations and breakdowns.

Responsibilities

  • Ensure that all necessary materials for each event are ordered in a timely manner.
  • Oversee the storage, organization, and inventory of materials and decor items in the warehouse.
  • Manage stock levels and handle inventory audits to avoid shortages or overages.
  • Conduct second-round interviews for staff hires after the initial screening process.
  • Hire and onboard skilled staff for event setup, breakdown, and other related roles.
  • Manage staff during the installation and breakdown phases of the event decor process, ensuring efficient team collaboration.
  • Develop detailed execution plans for each event based on the decor designs provided by the creative team.
  • Coordinate logistics, including transportation of materials and scheduling for onsite setup.
  • Ensure that the execution plan aligns with the client's vision and meets quality standards.
  • Oversee onsite installations to ensure that all decor elements are set up according to plan.
  • Troubleshoot any issues that arise during the installation or breakdown process.
  • Ensure safety protocols are followed during the setup and breakdown of event decor.

Requirements

  • Proven experience as a Project Manager, preferably in the event decor, event planning, or production industries.
  • Strong organizational skills and attention to detail, especially in managing inventory and logistics.
  • Experience in staff hiring and management, with the ability to lead teams during high-pressure installations.
  • Ability to create detailed execution plans and ensure alignment with creative designs.
  • Strong communication skills and ability to collaborate with various teams (creative, logistics, client-facing).
  • Flexibility to work remotely but be onsite during event installations and breakdowns as required.
  • Ability to manage multiple projects and deadlines simultaneously.

Nice-to-haves

  • Experience working with event decor, props, or large-scale installations.
  • Knowledge of inventory management software or tools.
  • Familiarity with health and safety regulations for onsite installations.
