About the position

The Project Manager (Events & Experiences) at FIRST Global Management Services, Inc. plays a pivotal role in leading and motivating colleagues to enhance working relationships while embodying the values of FIRST and the brand of our clients. This position is essential for ensuring that the project team consistently delivers exceptional service through excellent project management, resulting in world-class events that exceed client expectations. The Project Manager will be responsible for the planning and execution of multiple key corporate events, managing all aspects from initial briefing to reconciliation. This includes maintaining client liaison, monitoring Service Level Agreements (SLAs), and providing creative problem-solving support to team members. The role requires a proactive approach to ideas and solutions, as well as the management of vendors contributing to events. The Project Manager will also deepen relationships with existing clients and maximize opportunities to add new events to the portfolio. This position is ideal for a corporate event planning professional with prior experience in managing and motivating team members, and it requires a commitment to excellence and flexibility in a dynamic work environment.

Responsibilities

  • Lead and motivate project team members to enhance working relationships and encapsulate FIRST values.
  • Plan and execute multiple key corporate events from initial briefing to reconciliation.
  • Maintain client liaison and ensure SLAs are monitored and achieved throughout the event planning process.
  • Field questions and offer advice to team members for creative problem solving.
  • Ensure adherence to client's Standard Operating Procedures (SOPs).
  • Manage accurate and timely budgeting and reconciliation of events.
  • Create and monitor value-adds at every opportunity during event planning.
  • Share knowledge and best practices regarding new suppliers, services, and venues.
  • Provide support to other team members as needed.
  • Manage vendors contributing to events, including gifts and printed materials.
  • Deepen relationships with existing clients and maximize opportunities for new events.
  • Travel for site inspections and on-site management of events (10-15% annually).

Requirements

  • 5 - 7 years of Event Management experience, preferably in a financial/corporate environment.
  • Advanced Project Management skills, including budget creation, management, and reconciliation.
  • Bachelor's Degree required.
  • High-level conference, meeting, and production management experience.
  • Excellent supplier knowledge and negotiating skills.
  • Creative problem solver, team player, and resourceful.
  • Ability to take direction and work independently.
  • Excellent verbal and written communication skills.
  • Strong adaptability to situations and ever-changing demands.
  • Excellent time management and multi-tasking skills to meet strict deadlines.
  • Ambitious, proactive, and highly organized.

Nice-to-haves

  • Advanced working knowledge of venues and suppliers in key U.S. cities.
  • Proficient knowledge with Cvent Venue Sourcing.
  • Experience working on large and complex databases.
  • Proficiency in Excel, PowerPoint, and Microsoft Office.
